Viewing shifts

The Shifts tab shows all scheduled shift patterns for you and your team. This guide covers navigating, filtering and understanding shift information.
The shifts screen
When you open the Shifts tab, you see shift patterns organised by date. The app bar shows "Shifts" as the title, with a subtitle displaying your next shift time and pattern name (e.g. "You: 09:00 Morning Shift").
If you have team filters active, the title shows "Shifts (filtered)" to indicate not all shifts are visible.
Navigating dates
The horizontal date bar shows dates you can navigate between:
- Swipe left or right on the date bar to move between days
- Tap a specific date to jump directly to it
- The selected date is highlighted
- Scroll to the right edge to load more future dates
- Scroll to the left edge to load previous dates
Understanding shift pattern cards
Each shift pattern card displays:
- Pattern name - The name of the shift pattern (e.g. "Morning Shift")
- Team - Which team the pattern belongs to
- Completion ratio - Shows clocked in vs total shifts (e.g. "2/4")
The time slot on the left side of each card shows the pattern's start and end times.
A calendar icon indicates whether the pattern is:
- Single occurrence - Calendar icon with "1"
- Recurring - Calendar icon with sync arrows
Viewing pattern details
Tap a shift pattern card to open the detail screen. This shows all individual shifts within that pattern, including:
- Employee names
- Individual shift times
- Clock in/out status
- Break configurations
Status colours
Dates and shift patterns use colour gradients to show their current state:
- Green - All shifts completed on time
- Orange - Some shifts completed but with warnings (e.g. late clock-ins)
- Red - Action required (e.g. missing clock-ins)
- Grey/No colour - Future dates or upcoming shifts not yet started
Virtual patterns (future scheduled shifts that haven't been materialised yet) appear with grey styling.
Stories row
At the top of the shifts screen, you'll see a stories row showing team updates.
Tap + to add your own story, or tap a colleague's story circle to view their updates.
Leave summary
If team members have leave scheduled on the selected date, a Leave card appears at the bottom of the shift list. Tap it to see who is on leave that day.
Filtering shifts
Use the menu to filter which shifts you see:
- Tap the blue menu button
- Tap Filter shift view
- Select or deselect teams to show or hide their shifts
- Tap the back button to apply your selection
When filters are active, the app bar title changes to "Shifts (filtered)".
Viewing shifts by team
To see all shifts for a specific team:
- Tap the blue menu button
- Tap Export shifts by team
- The first team is shown by default
- Tap Choose Team at the bottom to select a different team
- Use the date pickers to set a date range
- Tap the download icon to export the shifts
Viewing shifts by user
To see all shifts for a specific person:
- Tap the blue menu button
- Tap Export shifts by user
- The first user is shown by default
- Tap Change User at the bottom to select a different person
- Use the date pickers to set a date range
- Tap the download icon to export the shifts
Swipe actions
Swipe on a shift pattern card to access quick actions:
- Swipe right - Opens the team message thread for this pattern
- Swipe left - Lets you send a direct message to a user about this pattern
Note: Swipe actions are only available for materialised patterns (not future virtual patterns).
Pattern card menu
Tap the three-dot menu icon on a shift pattern card to access additional options:
- Message team about this - Open the pattern's team chat
- DM user about this - Send a direct message about this pattern
- Edit just this shift pattern event - Make changes to only this occurrence
- Edit this recurring shift pattern - Edit the template for all future occurrences
- View shift pattern history - See the pattern's history
- Delete just this shift pattern event - Remove only this occurrence
Available options depend on whether the pattern is recurring and your user role.
Tips
- Check the shifts screen daily to see your schedule at a glance
- Use team filters to focus on specific locations when managing multiple sites
- Pay attention to status colours on dates to spot issues quickly
- Swipe on pattern cards for quick access to messaging features
- Tap the subtitle under "Shifts" to see when your next shift starts
