Poppi actions (AI)

Poppi is Pilla's AI assistant that can perform automated actions related to messaging and team chat. These actions run on schedules and can be enabled or disabled per organisation. Each action can be turned on or off individually, and scheduled actions allow you to choose what time they run.

Accessing Poppi chat actions

Poppi chat actions are configured from the web app by managers and admins.

  1. Go to the Chats tab
  2. Tap the tab icon again when it becomes the blue menu button
  3. Select Poppi chat actions
  4. The Poppi chat actions drawer opens

The drawer has tabs at the top to filter actions by who they affect:

  • Everyone -- actions that affect all staff members
  • Managers -- actions that only managers and admins receive

Each action shows a No/Yes toggle. When set to Yes, a time picker appears so you can choose when the action runs each day or week.

Morning briefings

Posts a daily briefing to the team chat summarising what is happening today, including who is on shift, who is on leave, and a summary of yesterday's performance.

Who receives it: Everyone (posted to team chat)

When it runs: Daily at 08:00 by default (configurable)

How it works: Each morning, Poppi gathers today's scheduled shifts, any leave entries, and yesterday's stats for each team. It then posts a summary message to each team's chat so everyone starts the day informed.

Example message:

Good morning, Kitchen Team! Here's your briefing for today:

On shift today: Sarah (09:00-17:00), James (10:00-18:00), Emma (12:00-20:00)

On leave: Tom (annual leave)

Yesterday: 3 shifts completed, average rating 4.2, all work items completed on time.

Birthday celebrations

Messages managers when a team member's birthday is today, so they can wish them a happy birthday or organise a celebration.

Who receives it: Managers

When it runs: Daily at 09:00 by default (configurable)

How it works: Poppi checks the date of birth for all team members each morning. If anyone's birthday falls on today's date, their manager receives a message letting them know.

Example message:

Hey! Just a heads up -- it's Sarah Johnson's birthday today. She's part of your Kitchen Team. Why not wish her a happy birthday?

Work anniversary celebrations

Messages managers when a team member's work anniversary is today, helping to recognise loyalty and long service.

Who receives it: Managers

When it runs: Daily at 09:00 by default (configurable)

How it works: Poppi checks the start date for all team members each morning. If anyone's work anniversary falls on today's date, their manager receives a message letting them know how long they have been with the organisation.

Example message:

Hey! Just a heads up -- James Wilson has been with you for 3 years today. He's part of your Front of House team. Why not congratulate him on his work anniversary?

Quiet member alerts

Alerts managers about team members who have not engaged in chat recently, helping to identify disengaged staff or people who may need support.

Who receives it: Managers

When it runs: Weekly on Monday at 09:00 by default (configurable)

How it works: Poppi looks at chat activity over the past week for each team. Any team member who has not sent a message or reacted to a message in the team chat is flagged as a quiet member.

Example message:

Hey, the following people in your teams haven't engaged in chat this past week:

  • Kitchen Team: Tom Davies, Rachel Green
  • Front of House: Alex Turner

You might want to check in with them.

Weekly summary reports

Sends managers a comprehensive weekly summary covering shifts, work completion, and issues across all of their teams, providing a high-level view of the past week's performance.

Who receives it: Managers

When it runs: Weekly on Monday at 09:00 by default (configurable)

How it works: Poppi compiles data from the previous week across all teams the manager is responsible for. The summary includes shift completion rates, work completion rates, any outstanding issues, and notable trends.

Example message:

Here's your weekly summary for w/c 24th February:

Kitchen Team: 42 shifts completed (98%), average rating 4.1, 3 open issues

Front of House: 35 shifts completed (100%), average rating 4.5, 1 open issue

Overall: 77 shifts, 99% completion, 18 work items completed on time (90%)

Saving changes

Tap Save in the top-right corner of the drawer header. The drawer closes immediately and your changes are saved in the background. A confirmation message appears once saved.
