Shift settings

Shift settings control how shifts behave across your organisation. Only Admins can access and change these settings.
Accessing shift settings
Shift settings are available on the web app.
- Go to the Shifts tab (the clock icon)
- Tap it again when it turns to the blue menu button
- Select Edit shift settings
- The Shift Settings drawer opens with a Save button in the top-right corner of the header
Shift settings fields
The drawer contains three number inputs and three toggle fields. Toggle fields use No / Yes circle checkboxes.
- How many days into the future should staff see shifts? (number input, required) -- staff will only see shifts scheduled within this number of days. Defaults to 7. Must be at least 1.
- How many days into the past can managers edit shifts? (number input, required) -- managers can edit shifts that occurred within this many days ago. Defaults to 2. Must be at least 1.
- How many minutes grace will you allow for late clock-ins? (number input, required) -- clock-ins within this many minutes after the shift start time are still counted as on-time. Defaults to 5. Can be set to 0 for no grace period.
- Should holiday accrual be paused during paid absence? (No / Yes toggle, defaults to No) -- when set to Yes, holiday entitlement does not accrue while a staff member is on paid absence.
- Should shift start time change to match clock-in time? (No / Yes toggle, defaults to No) -- when set to Yes, the recorded shift start time adjusts to the actual clock-in time instead of the scheduled start.
- Should users be allowed to add their own holidays? (No / Yes toggle, defaults to No) -- when set to Yes, staff can submit their own holiday requests. When No, only managers and admins can add holiday shifts.
Saving shift settings
Tap Save in the top-right corner of the header. The drawer closes immediately and your changes are saved in the background. A confirmation message appears once saved.
If any number field has an invalid value (for example, 0 for the visibility or editing window), you will see an error message asking you to correct it before saving.
Tips
- Start with 7 days of shift visibility and adjust based on how far ahead your team needs to plan
- Set the editing window to match your payroll cycle -- if payroll runs weekly, 7 days gives managers time to correct mistakes before the cutoff
- A grace period of 5 minutes is a reasonable starting point for late clock-ins
- Enabling "Should shift start time change to match clock-in time?" is useful when you want timesheets to reflect actual hours rather than scheduled hours
- Only enable staff holiday requests if you want employees to self-serve -- otherwise, managers can add holidays on their behalf
- Changes apply to all teams in your organisation and take effect immediately after saving
