Work forms

Work forms let you create and complete a one-off work item on the spot, without setting up a recurring work schedule. They are useful for ad-hoc tasks like spot checks, incident reports, or any work that only needs to happen once.
How to start a work form
- Go to the Work tab (the check icon)
- Tap the blue menu button when it appears
- Tap Complete a work form under the View & Search group
- The Complete a Work Form screen opens with the following fields:
- Element Template (dropdown, required) -- choose the element template that defines the work. Each option shows the template name and the number of elements it contains. Placeholder: "Select template"
- Team (dropdown, required) -- select the team this work form belongs to. Placeholder: "Select team"
- Tag (dropdown, required) -- categorise the work form with a tag. Placeholder: "Select tag"
If you need a new tag, type a name in the text field below the Tag dropdown (placeholder: "Or create new tag...") and tap Add. The new tag is created and automatically selected.
- Tap Start in the top-right corner of the header
The work form is created and the work sheet opens immediately so you can begin filling in the elements.
Filling in the work form
Once the work sheet opens, you will see the elements from the element template you selected. Complete each element the same way you would for any work item:
- Text -- type your answer in the text area
- Number -- enter a numeric value
- Photo -- tap to capture an image using the camera
- File -- upload a document from your device
- Checklist -- tick off each item in the list
- Single choice -- select one option from the available choices
- Multi choice -- select one or more options from the available choices
- Location -- capture your current GPS coordinates
- Date & Time -- pick a date and time
Tap Save at the bottom of the screen to save your progress at any time.
Once all elements are complete, tap Mark Complete to finish the work form.
Viewing completed work forms
After you submit a work form, it appears in the Work tab alongside your other work items. If multiple work forms share the same element template name on the same date, they are grouped into a single row. Tap that row to open the Work Forms list, which shows each individual form with its time range and status. Tap a form in the list to view or continue it.
Tips
- You need at least one element template before you can use work forms. Create one from the Work tab menu by tapping Create element template
- Work forms are available to all users, not just managers
- The Start button stays disabled until you have selected an element template, a team, and a tag
- You can save your progress and come back to a work form later, just like any other work item
- If the element template includes a skip or issue button, those options appear in the three-dot menu at the top right of the work sheet
