Poppi is Pilla's AI assistant that can perform automated actions related to the knowledge hub. The knowledge hub contains two types of content: written text that users must confirm they have read, and videos that are automatically tracked as watched. These actions help ensure staff stay up to date with mandatory training and knowledge content.

Accessing Poppi knowledge hub actions

Poppi knowledge hub actions are configured from the web app by managers and admins.

  1. Go to the Knowledge Hub tab
  2. Tap the tab icon again when it becomes the blue menu button
  3. Select Poppi knowledge hub actions
  4. The Poppi knowledge hub actions drawer opens

The drawer has tabs at the top to filter actions by who they affect:

  • Everyone -- actions that affect all staff members
  • Managers -- actions that only managers and admins receive

Each action shows a No/Yes toggle. When set to Yes, scheduled actions also show a time picker so you can choose when they run.

Overdue training nudges

Reminds users that they have mandatory knowledge hub entries they have not yet completed. This covers both videos that have not been watched and written content that has not been confirmed.

Who receives it: Everyone (sent as a direct message to each user with overdue items)

When it runs: Weekly on Monday at 09:00 by default (configurable)

How it works: Poppi checks all mandatory knowledge hub entries that are visible to each user (either visible to everyone or visible to their specific teams). A knowledge hub entry is considered incomplete if it has a video that the user has not watched to at least 95% completion, or if it has written content that the user has not confirmed reading. Users who have one or more incomplete mandatory entries receive a direct message listing what they need to complete.

Example message:

Hey Sarah, you have 3 mandatory knowledge hub files to complete:

  • Food Safety Guidelines
  • Allergen Awareness Training
  • Fire Safety Procedures

Retraining reminders

Reminds users when previously completed knowledge hub entries are due for review. When a knowledge hub entry has a rewatch interval set, users need to periodically re-complete it to stay current.

Who receives it: Everyone (sent as a direct message to each user with items due for review)

When it runs: Daily at 09:00 by default (configurable)

How it works: Poppi checks all knowledge hub entries that have a rewatch interval configured. If a user completed an entry (watched the video or confirmed the written content) and enough time has passed to exceed the rewatch interval, Poppi resets their completion status and sends them a reminder. This means the entry will appear as incomplete again, and the user must re-watch the video or re-confirm the written content.

For example, if a food safety video has a 90-day rewatch interval and a user watched it 91 days ago, Poppi resets their watch record and sends them a reminder to review it again.

Example message:

Training gap alerts

Sends managers a weekly report showing where users stand with mandatory knowledge hub entries, helping to identify who is behind on their training.

Who receives it: Managers

When it runs: Weekly on Monday at 09:00 by default (configurable)

How it works: Poppi analyses all mandatory knowledge hub entries visible to each team and produces a summary showing which users have completed them and which have not. This gives managers a clear overview of training compliance across their teams.

Example message:

Hey, here's a report of where users are upto with mandatory knowledge files.

  • Food Safety Guidelines: 8 of 12 users completed (67%)
  • Allergen Awareness: 10 of 12 users completed (83%)
  • Fire Safety Procedures: 12 of 12 users completed (100%)

Users with the most outstanding items: Tom Davies (3), Rachel Green (2)

New content notifications

Notifies users when a new knowledge hub entry has been made visible to them, so they know there is new content to complete.

Who receives it: Managers control this setting; notifications are sent to the relevant staff members

When it runs: Automatically, when a new knowledge hub entry is published or made visible to a team

Example: A manager publishes a new "Christmas Menu Training" video and makes it visible to the Kitchen Team. All members of the Kitchen Team receive a notification letting them know there is a new knowledge hub entry to complete.

Training completion summaries

Messages managers when a team member completes a knowledge hub entry, keeping them informed of training progress without having to check manually.

Who receives it: Managers

When it runs: Automatically, when a user completes a knowledge hub entry (watches a video to completion or confirms written content)

Example: Sarah finishes watching the "Allergen Awareness Training" video. Her manager receives a message saying Sarah has completed the entry, along with a summary of her overall training progress.

Saving changes

Tap Save in the top-right corner of the drawer header. The drawer closes immediately and your changes are saved in the background. A confirmation message appears once saved.
