Signing up and logging in

This guide covers everything from downloading Pilla to having a fully set up profile. Whether you're creating a new organisation or joining an existing team, you'll find the steps you need here.
Creating your Pilla account
Before you start, you'll need:
- An email address you can access
- A few minutes to complete the setup
Downloading the app
- Open the App Store (iPhone) or Google Play (Android) on your phone
- Search for Pilla App (Team Management)
- Tap Download or Install
- Wait for the app to install, then tap Open
First launch
When you first open Pilla, you'll see a welcome screen showing the Pilla icon and a preview of example chat messages. At the bottom is a single button:
- Tap Sign in to a company
This takes you to the Welcome screen where you enter your email address.
If you're joining an existing organisation
If a manager has already added you as a user in Pilla, you'll receive an email invitation with a magic link. When you tap the link and open the app for the first time, you go through a shorter onboarding flow:
- Welcome screen -- Tap Get Started
- Create profile photo -- Take a photo or choose one from your gallery, then tap Next
- Guided preview screens showing Shifts, Work, Leaderboard, Video, and Chat features
- Confirmation screen -- Shows "You're ready, [your name]!" and a Let's Go button
Tapping Let's Go completes onboarding and takes you into the app.
Verifying your email
After signing up, Pilla sends a magic link to the email address you entered:
- Check your email inbox for a message from Pilla
- Tap the link in the email
- The app opens and you're logged in
The verification screen shows your profile photo and email address, and confirms "This link will expire in 1 hour". If you need to resend, tap Resend Link (a 60-second cooldown applies after each send).
Logging in with magic links
Pilla uses magic links instead of passwords. This means you never need to remember or type a password -- you just tap a link in your email.
How magic links work
Magic links are secure, single-use login links sent to your email. When you tap one:
- It verifies you own that email address
- It logs you in automatically
- It can only be used once
- It expires after 1 hour for security
Logging in step by step
- Open the Pilla app
- Tap Sign in to a company on the welcome screen
- Enter your email address in the Email field
- Tap Send Magic Link
- Open your email app
- Find the email from Pilla (check spam if you don't see it)
- Tap the login link in the email
- The app opens and you're logged in
After sending, the button shows a 60-second cooldown (e.g. "Resend in 45s") before you can send again. Below the button, a help message reads: "Didn't receive the email? Check your spam folder." with a Different email link to try a different address.
Staying logged in
Once you're logged in:
- You stay logged in until you choose to log out
- Closing the app doesn't log you out
- Restarting your phone doesn't log you out
- You can use Pilla on multiple devices with the same account
You only need to log in again if you:
- Tap the log out button
- Your session expires after a long period of inactivity
- You delete and reinstall the app
If you don't receive the email
Sometimes magic link emails take a moment to arrive or end up in the wrong folder.
Check your spam folder
- Open your email app
- Go to your Spam, Junk, or Promotions folder
- Look for an email from Pilla
- If you find it, mark it as "Not spam" so future emails arrive in your inbox
Wait a few minutes
Email delivery can sometimes be delayed. Wait 2-3 minutes and check again.
Request a new link
If the email still hasn't arrived:
- Wait for the 60-second cooldown to finish
- Tap Send Magic Link again (or Resend Link on the verification screen)
- Check your email for the new link
Try a different email
If you're still having trouble:
- Make sure you're using the same email your manager added you with
- Check for typos in your email address
- Tap Different email to go back and try a different address
Tips
- Keep your email accessible -- You'll need it every time you log in on a new device
- Add a profile photo -- It helps your team recognise you
- Use your real name -- So teammates know who you are
- Check spam folders -- Magic link emails sometimes end up there
- Don't share magic links -- They're personal to your account
