You can edit recurring work schedules or single work occurrences.
Editing a recurring work schedule
To change settings for all work in a series:
- Go to the Work Items tab with the check icon
- Tap the tab again when it turns into the blue menu button
- Tap 'View recurring work schedules'
- Tap the ellipsis menu (three dots) on the work schedule to edit
- Select 'Edit this recurring work schedule'
This opens the Edit work schedule screen.
You then have all the same options available to you as when creating the work schedule.
Stage 1: Schedule settings
- Work Name — template name
- Tag — category tag (select from dropdown or create a new one)
- Teams — team assignment (tap to open a modal where you can select multiple teams, then tap Done)
- Start Date and Start Time — when occurrences begin (start date cannot be set to the past)
- End Date and End Time — when occurrences end
- Recurrence — how often the work repeats (Does not repeat, Daily, Weekly, Monthly, Yearly)
Stage 2: Elements
On the Edit elements screen, you can:
- Add new elements using Add Elements or Add More Elements
- Reorder elements using the up/down arrows
- Edit element names, instructions, and options
- Remove elements by tapping the delete icon
- Configure checklist items or choice options
Tap Finish in the header to save all schedule changes.
Note: When changing the start date for future-scheduled work, a confirmation dialog will show how many work items will be affected.
Editing a single work occurrence
If you want to edit a single work occurrence on a single date, without affecting any other work in the series, you can do that too.
- Go to the Work Items tab with the check icon
- Tap the ellipsis menu (three dots) on a work card
- Select 'Edit just this work event'
- Make your changes on the Edit work screen
- Tap Next to proceed to elements
- Tap Finish to save
This creates an exception for that specific work occurrence without affecting the schedule.
When editing a single occurrence, you will see a warning: for recurring work it confirms you are only editing this single work activity, and for non-recurring work it confirms the work does not repeat.
Note: Editing a single occurrence is only available to managers and admins, and only when the work has not yet started.
Stopping a recurring work schedule
When you are editing a recurring work schedule on stage 1 or you press the three dots menu icon on the 'View recurring work schedules' screen you will see these options:
- Stop this recurring work schedule
- Delete this recurring work schedule
Stopping a schedule prevents new work from being generated while keeping existing scheduled work. This means that work items that have already been materialised in your work view window will remain as they are but no more work schedules and associated work items will be created after that.
Use this when staff still need to complete already-scheduled work but you want to end the recurring schedule.
Deleting a recurring work schedule
If you choose to delete instead of stop, this will delete all future instances of the work schedule immediately and no more will be created. So unlike stopping, deleting is more destructive and will delete all future work items, even those already visible in your upcoming view.
This action cannot be undone.
Use this when you need to completely remove a work schedule including all upcoming occurrences.
Deleting a single work occurrence
To delete just one work occurrence without affecting the rest of the series:
- Go to the Work Items tab with the check icon
- Tap the ellipsis menu (three dots) on the work card
- Select 'Delete this work'
- Tap Delete to confirm
The single occurrence is removed while the schedule and other occurrences remain.
Note: Deleting a single occurrence is only available to managers and admins.
Tips
- Edit a single occurrence for one-off changes like rescheduling
- Edit the schedule when you need to change the recurrence pattern or affect all future work
- Stop schedules rather than deleting when staff still need to complete scheduled work
- Use the Work Schedules screen to see all your recurring templates and a calendar view of their occurrences
- Past work and already-completed work are not affected by schedule changes
