Editing shifts

Article Content

You can edit recurring shift patterns or single shifts within a shift pattern.

Editing a recurring shift pattern

To change settings for all shifts in a series:

  1. Go to the Shifts tab with clock icon
  2. Tap the tab again when it turns into the blue menu button
  3. Tap the 'View recurring shift patterns'
  4. Tap Edit this recurring shift pattern on the shift pattern to edit

This opens the Edit shift pattern screen.

You then have all the same options available to you as when creating the shift pattern.

Stage 1: Template settings

  • Pattern Name — template name
  • Team — team assignment
  • Start Date — when the pattern starts (must be today or later)
  • Recurrence — how often the pattern repeats

Stage 2: Individual shifts

On the Edit shifts screen, you can:

  • Modify existing employee shift times and breaks
  • Add new shifts using Add Another Shift
  • Remove shifts using the X button

Tap Update in the header to save all template changes.

Editing shift times inline

If you want to want to edit a single shift pattern on a single date, without affecting any other shift patterns, you can do that too.

  1. Go to the Shifts tab with the clock icon
  2. Tap a shift pattern card to open the shift details
  3. Tap the Start or End time picker on any shift card to update its details
  4. The change saves automatically

This creates an exception for that specific shift without affecting the pattern.

Note: Inline time editing is only available to managers and admins.

To add another shift, tap Add Another Shift at the bottom.

To remove a shift, tap the X button in the top-right corner of the shift card.

Tap Save in the header to save all changes.

Stopping a recurring shift pattern

When you are editing a recurring shift pattern on stage 1 or you press the three dots menu icon on the 'view recurring shifts screen' you will see these options:

  • Stop this recurring shift pattern
  • Delete this recurring shift pattern

Stopping a template prevents new shifts from being generated while keeping existing scheduled shifts. This means that shifts that have already been materialised in your shift view window (likely one or two weeks) will remain as they are but no more shift patterns and associated shifts will be created after that.

Use this when employees still need to work already-scheduled shifts but you want to end the recurring pattern.

Deleting a recurring shift pattern

If you choose to delete instead of stop, this will delete all future instances of the shift pattern immediately and no more will be created. So unlike stopping, deleting is more destructive and will delete all future shift patterns, even in your shift visibility window over the next few weeks.

Use this when you need to completely remove a shift pattern including all upcoming occurrences.

Tips

  • Use inline time editing for quick adjustments to individual shifts
  • Edit the template when you need to change the recurrence pattern or affect all future shifts
  • Edit a pattern occurrence when you need to change a specific date without affecting the series
  • Stop templates rather than deleting when employees still need to work scheduled shifts
  • Past shifts and already-completed shifts are not affected by template changes
