Poppi actions (AI)

Poppi is Pilla's AI assistant that can perform automated actions related to work management. These actions run on schedules or in response to events and can be enabled or disabled per organisation. Each action can be turned on or off individually, and scheduled actions allow you to choose what time they run.

Accessing Poppi work actions

Poppi work actions are configured from the web app by managers and admins.

  1. Go to the Work tab
  2. Tap the tab icon again when it becomes the blue menu button
  3. Select Poppi work actions
  4. The Poppi work actions drawer opens

The drawer has tabs at the top to filter actions by who they affect:

  • Everyone -- actions that affect all staff members
  • Managers -- actions that only managers and admins receive

Each action shows a No/Yes toggle. When set to Yes, scheduled actions also show a time picker so you can choose when they run. Some actions have additional configuration options that appear when enabled.

Work start reminder (before)

Sends a push notification to the user 5 minutes before their scheduled work item starts, reminding them to begin.

Who receives it: Everyone

When it runs: Automatically, 5 minutes before each work start time

Example: A staff member has a cleaning task scheduled for 10:00. At 09:55, they receive a push notification reminding them the task is about to start.

Work start reminder (after)

Sends a push notification to the user 5 minutes after their scheduled work item has started if they have not yet begun it.

Who receives it: Everyone

When it runs: Automatically, 5 minutes after each work start time (only if the user has not started the work)

Example: A staff member has a cleaning task scheduled for 10:00. At 10:05, if they still have not started it, they receive a push notification reminding them to begin.

Work end reminder (before)

Sends a push notification to the user 5 minutes before their scheduled work item ends, reminding them to finish up.

Who receives it: Everyone

When it runs: Automatically, 5 minutes before each work end time

Example: A staff member has a cleaning task due to finish at 11:00. At 10:55, they receive a push notification reminding them to complete the task.

Work end reminder (after)

Sends a push notification to the user 5 minutes after their scheduled work item has ended if they have not yet completed it.

Who receives it: Everyone

When it runs: Automatically, 5 minutes after each work end time (only if the user has not completed the work)

Example: A staff member has a cleaning task due to finish at 11:00. At 11:05, if they still have not completed it, they receive a push notification reminding them to finish.

Issue persistence alerts

Alerts managers daily about unresolved issues that have been open for an extended period, helping to ensure problems do not get forgotten or ignored.

Who receives it: Managers

When it runs: Daily at 09:00 by default (configurable)

How it works: Poppi checks for issues across all of a manager's teams that have remained unresolved for over a week. Issues are grouped by team and listed with their details.

Example message:

Hey there, the below issues are still unresolved in your teams.

  • Kitchen Team: "Broken fridge seal" (opened 12 days ago)
  • Front of House: "Till drawer sticking" (opened 9 days ago)

These issues have been open for over a week. Consider reviewing and resolving them.

Issue trend reports

Reports to managers on a weekly basis about work areas that are seeing more issues than usual, helping to spot emerging problems before they escalate.

Who receives it: Managers

When it runs: Weekly on Monday at 09:00 by default (configurable)

How it works: Poppi analyses issue data from the last 4 weeks and identifies work areas where the number of reported issues is trending upward compared to previous weeks.

Example message:

Issue trends (last 4 weeks):

  • Kitchen cleaning: 12 issues this week vs 4 average (up 200%)
  • Stock rotation: 8 issues this week vs 3 average (up 167%)

These work areas are seeing more issues than usual.

Missed task patterns

Reports to managers on a weekly basis about work templates that have a recurring pattern of being missed or incomplete, helping to identify systemic problems with task completion.

Who receives it: Managers

When it runs: Weekly on Monday at 09:00 by default (configurable)

How it works: Poppi tracks the completion rate of each work template over the past 4 weeks. An alert is sent when a template's missed rate reaches the configured threshold percentage.

Example message:

Hey, I found these missed work patterns while looking at work from the last 4 weeks.

  • Evening deep clean: missed 8 out of 20 times (40%)
  • Stock count: missed 6 out of 16 times (38%)

Options: The alert threshold defaults to 30%. Poppi tracks the completion rate of each work template over the past 4 weeks. An alert is sent when a template's missed rate reaches this percentage.

Saving changes

Tap Save in the top-right corner of the drawer header. The drawer closes immediately and your changes are saved in the background. A confirmation message appears once saved.
