1. Listen & Acknowledge
Allow the customer to explain their concern fully without interruption. Show empathy and acknowledge their frustration. Use phrases like “I understand how that must feel” to de-escalate.
2. Record the Details
Complete the Customer Complaint Form in full, including the date, time, customer name, and a clear description of the issue. Attach any photos if relevant.
3. Escalate to Management
Send a message to the management chat with a summary of the complaint. A manager will respond within 2 hours during operating hours.
4. Follow Up
