Understand

First aid equipment is only useful if someone knows how to use it. Ensuring qualified people are always available to respond during working hours requires careful planning around training, coverage, and succession.

Guidance stipulates one trained first aider to every 20 employees in low-risk environments. You should train more than the minimum to ensure coverage during holidays and sickness, maintaining the ratio during every working day. A training matrix tracks all first aiders, their training dates, and certification expiry dates. First aid certificates are valid for three years, and refresher training must be arranged before they expire.

Having enough first aiders overall is not sufficient; they must be distributed across shifts and locations. Before approving annual leave for a first aider, coverage should be checked to ensure at least the minimum number remain on site. When a trained first aider leaves the organisation, replacement training should be arranged promptly to avoid any gap in coverage.
