If people need the work checked, and a follow-up sent, while the run is still open, I would pick Pilla. If the policy documents and the assigned runs have to live in one product, pick Process Street. If a customer or a supplier has to finish their step from a link, and you want a price per person on the website, pick Tallyfy. If people have to finish the training and sign that they understood it, pick Trainual. If you want help writing the process down and answering questions from that library, pick Whale.

SweetProcess publishes a price: $99 a month for up to 10 people, with the documents, the tasks, the quizzes and a library. Way We Do is the manual people have to accept, and Entry is $99 a month for 10 people. Tango records how someone clicks through a piece of software, and I could not find a phone app for a person working a shift. I also left off wikis, generic task apps, maintenance systems and big process suites. Those are different jobs, so they stay off this list.

Process Street has iPhone and Android apps, and they need a signal. Editing the pages stays in the browser. Tallyfy works in the phone's browser, and there is no app in the stores. Trainual has a phone app for doing the training. Writing new content stays on a desktop. Whale's apps keep recent procedures readable with no signal, and a checklist finished offline syncs when the phone reconnects. A QR code can open a procedure in the browser for reading only. Pilla runs on the phone, a tablet, or the web app.

A Process Street AI Task can draft or classify text during a run. It does not browse the web. Tallyfy can put a connected AI on a step, and other software can read the library through MCP. Trainual's assistant answers from the library. Whale's Alice answers from the library too. The monthly credits pay for drafts and quizzes. Asking Alice a question does not use those credits. Pilla checks the work and follows up while the run is still open. I have not timed any of that in a paid account.

Pilla is Pay as you go at £199 a month with 1,500 processed workflows, then 15p each. Enterprise is from £25k a year. People are unlimited. Tallyfy publishes Full and Light per person. If you add people during the year you pay as you go, and at renewal the bill drops to the lowest number of seats you held. The analytics feed is an extra $20 per seat per year. Whale's free plan includes 1 creator, 10 members and 20 items in the library. Scale includes 3 creators and Advance includes 5. Extra creators are $29 and $39 a month on yearly billing, and the paid plans do not limit how many members you add. Process Street and Trainual quote you. Process Street Startup is 5 users and 10 guests, with a 14-day Pro trial and no card. Trainual lists a $1,000 setup fee and lets you pause an account for up to 3 months. Help mentions a 7-day trial, and the pricing page asks you to book a demo. I cannot tell you which one a new customer actually gets. None of those licences write your procedures for you.

Process Street exports runs to CSV. Tallyfy exports a process to a spreadsheet with 49 columns, and Light members cannot run that export. Trainual can save some of the written content as a PDF. Tests and checklists cannot. Whale can export PDF and Word on the paid plans. Their reporting page says CSV starts on Scale. Their pricing page says it starts on Advance. I cannot tell you which is right. The history stays where it is unless you move it yourself. On Pilla you rebuild the workflow on the canvas.

When you need two different records. Trainual or Whale if the record is that someone finished the training, passed a quiz, or read the document. Process Street or Tallyfy if the record is that someone finished an assigned run and a person approved it. Pilla if the work still needs checking, and a follow-up, while that run is open. The training record and the finished run are two purchases.

Name an owner, launch the same workflow on a schedule, and chase the ones that get missed. Process Street and Tallyfy need that launch to happen again next week. Trainual needs a due date and a nudge. Whale needs someone assigned to read it, or a checklist, and a manager who looks at the missed photos. I could not find a public software dollar price for Process Street or Trainual. I could not find DMs or group chat rooms on Process Street, Tallyfy, Trainual or Whale. I could not find a visual canvas on Process Street or Tallyfy. I could not find an AI step that acts inside a live Whale checklist run. I could not find a native store app for Tallyfy. Whale's own pages disagree on the Enterprise price, and on whether CSV export starts on Scale or Advance.
