I wrote this because I keep getting asked whether Pilla replaces UpKeep. I ran restaurants for years. I know the job: you want the floor to do the work without you chasing every check.

UpKeep Technologies sells an AI-native CMMS and asset operations platform. Technicians run work orders and checklists on a phone or tablet. Managers plan preventive maintenance, keep an asset register, track parts and purchase orders, and report on downtime. Nova chats, speaks and drafts work orders, and in Agent mode it can change CMMS records. You can add Safety, Learn, Edge sensors and Fleet on the same platform.

I built Pilla so you can turn a process you already know into a workflow on a canvas. Your team runs it on a phone, tablet or the web app. Pilla can fetch, decide and act while the work is happening. You keep the judgement calls.

How did we compare them?

I ask the same twelve questions on every comparison. For Pilla I describe what the product does today. For UpKeep I went back to their help, product pages and the live pricing page on 16 September 2026. Where they stay quiet, I stay quiet.

I am Liam Jones. I founded Pilla after more than ten years running hospitality operations, food safety and frontline teams. On 16 September 2026 I sat with UpKeep help: checklist templates, conditional logic, how to edit a checklist template, required tasks, work-order photos and files, Nova modes, Nova Workflows, work-order Activity, External Chat, the public API and the live pricing page. I have not lived in a paid UpKeep account for this write-up. I am telling you what their docs say.

What should you take away?

  • I would pick Pilla if I wanted the floor to follow the process without me chasing every check
  • I would pick Pilla if I wanted the work checked as it comes in, and followed up when something needs me
  • I would keep UpKeep if I needed a CMMS with assets, parts and preventive maintenance
  • I would not switch expecting Pilla to take over the CMMS, parts, purchase orders or sensors

A paid seat is anyone assigned work or who configures the system. Admin and technician cost the same. Requesters and view-only users are unlimited and free. Essential is $24 per user per month. Premium is $55. Professional and Enterprise are quoted. Every listed plan includes a Nova credit bundle: 250 on Essential, 500 on Premium, 750 on Professional and 1,000 on Enterprise. Custom checklists and preventive maintenance sit on Premium. Offline, the external request portal, full analytics history and work-order signature capture sit on Professional. API, SSO, purchase orders and the workflow automation row sit on Enterprise. Help labels Zapier as Enterprise. I could not find whether Zapier is broader. Implementation packages are $500, $1,500, $5,000 or custom. The SAP connector is $5,000 per year. Safety, Learn, Edge and Fleet are separate products. I could not find whether $24 and $55 are billed monthly only, or cheaper annually. I could not find Professional or Enterprise dollar rates, or a day count on the live trial form. Help says all plans can create one classic Automated Workflow and that Nova Workflows are on all paid plans for admins. I could not find how those nest with the Enterprise workflow-automation row.

How long does setup take, and how hard is it?

You can open Pilla the same day. Every new account gets a 14-day trial of Pro, with no card. I usually see a first workflow take an afternoon. UpKeep advertises Try for free with no credit card, and you can invite the full team. I could not find a length in days on the live trial form. Professional, Enterprise, implementation packages and Edge sensors take a real rollout.

If you move, you rebuild the checklists on the canvas. Photos and history stay in UpKeep unless you export them by hand. Run both for a while. Keep the asset register, spare parts, purchase orders, preventive maintenance and sensors on UpKeep or another vendor. I did not build Pilla to be a CMMS.

Does the answer change by budget or size?

If you want a process on a canvas today, start with Pilla. If you need assets, parts and preventive maintenance from one vendor, stay with UpKeep. If money is tight, I publish prices, and UpKeep publishes Essential and Premium. If you want AI in the run and an MCP server, I would pick Pilla even in a small team.

What is each one used for?

What is UpKeep designed to do?

UpKeep keeps physical assets running. You take a request, turn it into a work order, attach an inspection checklist, schedule calendar or meter PMs, hold spare parts, and prove the job with photos, signatures and timestamps. I would stay on UpKeep for that CMMS depth: asset records, meters, parts, purchase orders, a PM calendar, and optional Edge sensors, Safety and Fleet. Labour timers and iOS GPS arrival prompts are why some teams stay.

What is Pilla designed to do?

I built Pilla so you can turn the processes you already know into workflows on a canvas. Your team follows them on a phone, tablet or the web app. Pilla checks completed work and handles the follow-up you configured. You keep judgement, coaching and the awkward calls. I left shift scheduling, payroll and HR out on purpose.

How do they check the work?

On Pilla I put AI fetching, decisions and actions in the run. On UpKeep, required tasks, required photos and Pass, Flag or Fail do the checking. Nova can draft work orders and, in Agent mode, change CMMS records from chat. I could not find an AI step inside a worker-run canvas.

How do you design the work?

On Pilla you draw a visual canvas with branching and reuse the workflow. On UpKeep you build a checklist as a field list, show child tasks with if-then logic, and reuse work-order templates. Nova Workflows generate a diagram from chat. Help says that diagram is a visual representation of the logic, not an interactive editor. I could not find a visual canvas you draw yourself.

How do you provide guidance?

On Pilla you sit written, photo and video guidance beside each step. On UpKeep you put Task Instructions on each item, and you attach PDFs, images and MP4 files to the work order, asset or location. Help on editing a checklist is explicit: the preview photo is for the worker to prove the work. I could not find a dedicated photo-guidance or video-guidance step.

How does the team talk?

On Pilla you get DMs and group chats, including on a workflow. UpKeep comments and @mentions live on the work order. Professional and Enterprise add External Chat with requesters. Vendors get Activity/Chat on the Provider Portal. Teams are assignment groups. I could not find DMs or group channels.

How do they connect other software?

Pilla publishes an MCP server, a REST API and integrations. UpKeep documents a REST API and webhooks on Enterprise, Zapier, a named SAP connector, and Nova connections such as Gmail, Calendar and Slack. I could not find an UpKeep MCP server.

What are you paying for?

On Pilla you pay for processed workflows, with unlimited people, and you get a 14-day trial of every Pro feature with no card. UpKeep charges per paid user. Essential is $24 per user per month. Premium is $55. Professional and Enterprise are quoted. Requesters are free. Nova credits scale by tier. I could not find whether $24 and $55 are cheaper on annual billing.

Which should you pick?

If I needed a real CMMS, with asset records, spare parts, purchase orders and preventive maintenance, I would keep UpKeep. That stack, plus optional Safety, Fleet and Edge sensors, is a fair reason to stay. If I wanted the work drawn on a canvas and AI acting inside the run, with DMs and MCP, I would use Pilla, and I would keep assets, parts and PMs somewhere else.

Is UpKeep a CMMS or general work management?

It is a CMMS and asset operations platform. Core objects are work orders, assets, parts, meters, preventive maintenance, and purchase orders on higher plans. Nova, Safety, Learn, Edge and Fleet sit on that same platform.

Does UpKeep have AI inside the work the way Pilla does?

Nova chats, speaks, drafts work orders and checklists, summarises activity, and in Agent mode can change CMMS records without confirming each step. Deletions still need approval. Their product FAQ says nothing happens automatically without your approval. Intelligence help still calls AI outputs suggestions you control. Nova Workflows can include an optional AI step. I could not find an AI fetch, decision or action step on a worker-run canvas.

Can staff chat in UpKeep the way they would in Pilla?

They can comment on a work order and @mention people. Professional and Enterprise add chat with external requesters. Vendors have Activity/Chat on the Provider Portal. I could not find DMs or group chats as a team Messages module.

What evidence can an UpKeep checklist capture?

A checklist can take text, numbers, meter readings, checkboxes, Pass, Flag or Fail, multiple choice, multi-select, signatures, plus photos, notes and files on a task or work order. Work orders also accept MP4 video. I could not find a rating-scale field, a date field in the published checklist task-type list, a GPS field on a step, or a stored-audio task type. Star ratings exist as optional post-close requester feedback. Voice requests record speech and then show a transcript.

How much does UpKeep cost compared to Pilla?

Essential is $24 per user per month. Premium is $55 per user per month. Professional and Enterprise are quoted. Requesters and view-only users are free. Nova credits are 250, 500, 750 or 1,000 a month by tier. Trial is advertised with no credit card. I could not find a length in days on the live trial form. I do not charge per person. Starter is £49 a month with 500 processed workflows included. Pro is £99 a month with 1,000 included, and adds AI automations inside Pilla. Does switching to Pilla replace UpKeep parts, meters, sensors or Safety?

No. I did not build Pilla as a CMMS, or for shift scheduling, payroll or HR. If you need the asset register, spare parts, purchase orders, sensor-triggered PMs or Safety recordkeeping, keep those on UpKeep or another product.

How long does it take to switch from UpKeep to Pilla?

You rebuild the checklists on the canvas. A first workflow usually takes an afternoon. Running both side by side can take days or a couple of weeks, depending on how many checklists you have. Photos and history stay in UpKeep unless you move them by hand.
