I wrote this because I keep getting asked whether Pilla replaces Limble. I ran restaurants for years. I know the job: you want the floor to do the work without you chasing every check.

Limble is still Limble Solutions. You log in at auth.limblecmms.com. The public site is limble.com. limblecmms.com redirects there. Technicians run work orders and preventive tasks on a phone or tablet. Managers keep an asset register, schedule calendar and meter PMs, track spare parts and purchase orders, and report on downtime. Practical AI drafts PM templates from manuals, reads nameplates, flags odd meter entries, and exposes a read-only MCP server so tools such as Claude or Cursor can query Limble data.

I built Pilla so you can turn a process you already know into a workflow on a canvas. Your team runs it on a phone, tablet or the web app. Pilla can fetch, decide and act while the work is happening. You keep the judgement calls.

I would pick Pilla when I want AI to act inside the work. I would pick Limble when I want a CMMS with assets, parts and preventive maintenance.

How did we compare them?

I ask the same twelve questions on every comparison. For Pilla I describe what the product does today. For Limble I went back to their help, product pages and API docs on 16 September 2026. Where they stay quiet, I stay quiet.

I am Liam Jones. I founded Pilla after more than ten years running hospitality operations, food safety and frontline teams. What should you take away?

  • I would pick Pilla if I wanted the floor to follow the process without me chasing every check

  • I would keep Limble if I needed a CMMS with assets, parts and preventive maintenance

Limble shows Standard, Premium+ and Enterprise. Each card is Calculate my price. A user is a paid technician or full user. Work requesters are unlimited and unpaid. Standard includes the mobile app, unlimited assets, work orders and PMs, unlimited requesters, dashboards and AI PM Builder. Premium+ adds offline, spare parts, vendors, purchase orders, meter PMs, signatures, inspection checks, the REST API, MCP and anomaly detection. Enterprise adds location roll-up reporting, custom roles, resource-planning AI, 21 CFR, Maps and Verify Location. SSO is an add-on on Premium+ and included on Enterprise. IoT and ERP connectors may cost extra. I could not find a remaining free Basic tier on the live compare table. I have left third-party dollar figures off this page.

How long does setup take, and how hard is it?

You can open Pilla the same day. Every new account gets a 14-day trial of Pro, with no card. I usually see a first workflow take an afternoon. Limble starts with a demo and a price calculator. I could not find a trial length in days on the live pricing page. They say you can see value in about 3 weeks. Offline, parts, signatures, the REST API and MCP sit on Premium+. Maps, Verify Location, resource-planning AI and 21 CFR sit on Enterprise.

If you move, you rebuild the instruction lists on the canvas. Photos and history stay in Limble unless you export them by hand. Run both for a while. Keep the asset register, spare parts, purchase orders, meters and preventive maintenance on Limble or another vendor. I did not build Pilla to be a CMMS.

Does the answer change by budget or size?

If you want a process on a canvas today, start with Pilla. If you need assets, parts and preventive maintenance from one vendor, stay with Limble. If money is tight, I publish prices. Limble quotes you through a calculator. If you want AI in the run, I would pick Pilla even in a small team.

What is Limble designed to do?

Limble keeps physical assets running. You create and assign work orders. You attach inspection instruction lists. You schedule calendar and meter or sensor PMs. You hold spare parts and purchase orders. You prove the work with photos, signatures, timestamps and, on Enterprise, a GPS check-in. I would stay on Limble for that CMMS depth: asset records, meters, IoT connectors, parts, purchase orders, resource planning and 21 CFR records. Hardware and IoT sensors are partner integrations.

What is Pilla designed to do?

I built Pilla so you can turn the processes you already know into workflows on a canvas. Your team follows them on a phone, tablet or the web app. Pilla checks completed work and handles the follow-up you configured. You keep judgement, coaching and the awkward calls. I left shift scheduling, payroll and HR out on purpose.

What differences actually matter?

How do they check the work?

On Pilla I put AI fetching, decisions and actions in the run. On Limble a required checkbox, an option-list answer, Request Approval, Capture Signature or Verify Location does the checking. Anomaly detection flags unexpected number entries. AI PM Builder drafts a template for a human to review. MCP is a read-only data layer for tools such as Claude or Cursor. I could not find an AI step that fetches, decides and acts as a continuing step inside the work.

How do you design the work?

On Pilla you draw a visual canvas with branching and reuse the workflow. On Limble you build an instruction list, nest instruction sets, and show extra steps with option-list or dropdown conditions. Recurrence is calendar, meter or threshold PMs. I could not find a visual canvas.

How do you provide guidance?

On Pilla you sit written, photo and video guidance beside each step. On Limble you put written instructions, documents and images on an instruction. Video on a task is a hyperlink. Native .mp4 and .mov sit on work requests and asset video fields. I could not find a dedicated video-guidance instruction type.

How does the team talk?

On Pilla you get DMs and group chats, including on a workflow. Limble comments sit on the task. Involved people get push or email. Unpaid requesters get two-way email. Slack can receive work-order notifications. I could not find DMs or group channels.

How do they connect other software?

Pilla publishes an MCP server, a REST API and integrations. Limble documents a REST API on Premium+ and Enterprise, named integrations, and a hosted MCP server at mcp.limblecmms.com. Limble says MCP is read-only. I could not find MCP write tools.

What are you paying for?

On Pilla you pay for processed workflows, with unlimited people, and you get a 14-day trial of every Pro feature with no card. Limble quotes you per paid user through a calculator. Standard, Premium+ and Enterprise are on the card with no dollar rate. REST API and MCP sit on Premium+ and Enterprise. I could not find a public software price.

Which should you pick?

If I needed a real CMMS, with asset records, spare parts, purchase orders and preventive maintenance, I would keep Limble. That stack is a fair reason to stay. If I wanted the work drawn on a canvas and AI acting inside the run, with DMs and unlimited users, I would use Pilla, and I would keep assets, parts and PMs somewhere else.

Frequently asked questions

Does Limble have AI inside the work the way Pilla does?

Limble's Practical AI drafts PM templates from manuals, reads nameplates with Asset Snap, flags unexpected meter values, suggests Enterprise crew schedules, and blocks some duplicate work requests. MCP lets Claude, Cursor and similar tools read Limble data. The winter 2026 release says MCP is read-only. Marketing says the AI is built to work with the team, not instead of it. I could not find an AI step that fetches, decides and acts as a continuing step inside the work.

Can staff chat in Limble the way they would in Pilla?

They can comment on a task, notify a user or team, and get email or push. Unpaid requesters can get two-way email. Slack can receive work-order notifications. Pricing lists Real-Time Communication on Premium+ and Enterprise. I could not find a DM or group-chat module.

What evidence can a Limble task capture?

A task can take checkboxes, text, numbers, option or dropdown lists, a date picker, files and pictures, and signatures. Verify Location, on Enterprise with Maps, records a GPS check-in within about 10 metres. Native video upload is documented on work requests and asset fields. I could not find a rating-scale field or a stored-audio instruction.

How much does Limble cost compared to Pilla?

Limble quotes you. The live pricing page on 16 September 2026 shows Standard, Premium+ and Enterprise and sends you to a calculator. I could not find a public software price. Work requesters are unlimited and unpaid. REST API and MCP are on Premium+ and Enterprise. I do not charge per person. Starter is £49 a month with 500 processed workflows included. Pro is £99 a month with 1,000 included, and adds AI automations inside Pilla. Every new account gets a 14-day trial of every Pro feature, with no card.

Does Limble have an MCP server?

Yes. It is hosted at mcp.limblecmms.com, documented for Cursor, Claude Desktop, Claude Code, GitHub Copilot and Microsoft Copilot Studio, and gated to Premium+ and Enterprise. Limble says it is read-only.

Does switching to Pilla replace Limble parts, meters or IoT?

No. I did not build Pilla as a CMMS, or for shift scheduling, payroll or HR. If you need the asset register, spare parts, purchase orders or sensor-triggered PMs, keep those on Limble or another product.

How long does it take to switch from Limble to Pilla?

You rebuild the instruction lists on the canvas. A first workflow usually takes an afternoon. Running both side by side can take days or a couple of weeks, depending on how many templates you have. Photos and history stay in Limble unless you move them by hand.
