Pilla vs Fiix (2026): AI that acts inside the work, or a CMMS for assets, parts and PMs
I wrote this because I keep getting asked whether Pilla replaces Fiix. I ran restaurants for years. I know the job: you want the floor to do the work without you chasing every check.
Fiix is Rockwell Automation's cloud CMMS. You still log into Fiix at fiixsoftware.com. Technicians run work orders and task lists on a phone, tablet or the web app. Managers plan preventive maintenance, keep an asset register, track parts and purchase orders, and report on downtime. Fiix MAX is a licensed chatbot that answers questions from your CMMS and manuals. Foresight and Asset Health add analytics and predictive work orders.
I built Pilla so you can turn a process you already know into a workflow on a canvas. Your team runs it on a phone, tablet or the web app. Pilla can fetch, decide and act while the work is happening. You keep the judgement calls.

I would pick Pilla when I want AI to act inside the work. I would pick Fiix when I want a CMMS with assets, parts and preventive maintenance.
How did we compare them?
I ask the same twelve questions on every comparison. For Pilla I describe what the product does today. For Fiix I went back to their help, the live pricing page and the API docs on 16 September 2026. Where they stay quiet, I stay quiet.
I am Liam Jones. I founded Pilla after more than ten years running hospitality operations, food safety and frontline teams. What should you take away?
- I would pick Pilla if I wanted the floor to follow the process without me chasing every check
- I would pick Pilla if I wanted the work checked as it comes in, and followed up when something needs me
- I would keep Fiix if I needed a CMMS with assets, parts, meters and sensor-triggered PMs
- I would not switch expecting Pilla to take over the CMMS, parts or OT connectors

You open Pilla on the phone you already carry. You see the next step, read how to do it, take the photo or sign, and move on. The record lands while you work. Pilla checks it against the rules you set and follows up when something needs you.

A user is any named person who logs into Fiix. Month-to-month or annual. The free plan never expires, with 25 active PMs, unlimited work orders and requests, and limited users. I could not find a headcount on that free plan. Pass/fail inspections sit on Basic and up. Nested PMs, purchasing and Foresight sit on Professional. Failure codes, customized workflows, e-signatures, the audit trail, SSO and the Integration Hub sit on Enterprise. The live pricing page marks Integration Hub, the custom API and the app exchange as extra cost. Lite License and Fiix MAX are quoted add-ons. MAX is licensed per user on Professional or Enterprise. Lite seats cannot take MAX. Requesters on the guest work-request portal are separate from named users. I could not find dollar rates for Enterprise, Lite License or Fiix MAX.
How long does setup take, and how hard is it?
You can open Pilla the same day. Every new account gets a 14-day trial of Pro, with no card. I usually see a first workflow take an afternoon. Fiix has a free plan that never expires and needs no card. You can also take a Professional free tour or book a live demo. I could not find a trial length in days on the live pricing page. Fiix MAX, Lite licenses, e-signatures and the Integration Hub sit on paid add-ons or Enterprise.
If you move, you rebuild the task lists on the canvas. Photos and history stay in Fiix unless you export them by hand. Run both for a while. Keep the asset register, spare parts, purchase orders, meters and OT connectors on Fiix or another vendor. I did not build Pilla to be a CMMS.
Does the answer change by budget or size?
If you want a process on a canvas today, start with Pilla. If you need assets, parts and preventive maintenance from one vendor, stay with Fiix. If money is tight, I publish prices, and Fiix has a free plan with caps. If you want AI in the run and an MCP server, I would pick Pilla even in a small team.

What is Fiix designed to do?
Fiix keeps physical assets running. You create and assign work orders. You attach task groups and inspection checks. You schedule calendar, meter, event or sensor-based preventive maintenance. You hold spare parts and purchasing. You prove the work with photos, notes and, on Enterprise, e-signatures and an audit trail. I would stay on Fiix for that CMMS depth: asset records, meters, parts, purchase orders, OT and IT connectors, and optional Asset Health or ARP sensors.
What is Pilla designed to do?
I built Pilla so you can turn the processes you already know into workflows on a canvas. Your team follows them on a phone, tablet or the web app. Pilla checks completed work and handles the follow-up you configured. You keep judgement, coaching and the awkward calls. I left shift scheduling, payroll and HR out on purpose.
What differences actually matter?
How do they check the work?
On Pilla I put AI fetching, decisions and actions in the run. On Fiix, MAX answers questions from the CMMS and manuals. Help says it assists decision-making, it does not create records, and work orders opened from MAX chat are read-only. Foresight flags risky work orders in dashboards. Asset Health and ARP can generate work orders for a manager to review. I could not find an AI step that continues the work on its own.
How do you design the work?
On Pilla you draw a visual canvas with branching and reuse the workflow. On Fiix you build tasks on work orders, reuse task groups, and nest PMs on Professional. Enterprise workflows are a trigger plus activities such as notify, update a field, send a report, if/else and loop. I could not find a visual canvas.
How do you provide guidance?
On Pilla you sit written, photo and video guidance beside each step. On Fiix you put written procedures on tasks, attach files and images, and link an instructional video URL. MAX, as a licensed add-on, answers how-to questions from manuals. I could not find a dedicated video-guidance field type on a task.
How does the team talk?
On Pilla you get DMs and group chats, including on a workflow. Fiix sends email, an in-app inbox and mobile push. IT integrations can fan out to Slack, Microsoft Teams and Outlook. MAX is a chatbot with the product, not with teammates. I could not find DMs or group channels.
How do they connect other software?
Pilla publishes an MCP server, a REST API and integrations. Fiix documents a JSON-over-HTTPS API on Enterprise, an Integration Hub, named ERP and OT connectors, and Java and JavaScript SDKs. Help says the API is not REST or SOAP, with 1,000 calls a day per user license. I could not find a Fiix MCP server.
What are you paying for?
On Pilla you pay for processed workflows, with unlimited people, and you get a 14-day trial of every Pro feature with no card. Fiix charges per named user. Free is $0 with 25 active PMs and limited users. Basic is $45 per user per month. Professional is $75. Enterprise is quoted. Lite License and Fiix MAX are extra. Which should you pick?
If I needed a real CMMS, with asset records, spare parts, purchase orders, meters and sensor-triggered PMs, I would keep Fiix. That stack, plus optional MAX Q&A and Rockwell OT connectors, is a fair reason to stay. If I wanted the work drawn on a canvas and AI acting inside the run, with DMs and MCP, I would use Pilla, and I would keep assets, parts and PMs somewhere else.

Is Fiix still an independent CMMS?
The public site and help centre still run as Fiix. They brand it as Fiix, a Rockwell Automation company.
Does Fiix have AI inside the work the way Pilla does?
Fiix MAX shipped in help on 14 July 2026 as a licensed add-on on Professional and Enterprise. It answers questions from your CMMS, manuals and the help centre. Help says it assists decision-making, does not create records, and work orders opened from MAX are read-only. Foresight flags trends in dashboards. ARP and Asset Health can generate work orders for a manager to review. I could not find an AI step that fetches, decides and acts as a continuing step inside the work.
Can staff chat in Fiix?
They get email, an in-app inbox and mobile push, plus optional Slack or Teams notifications. I could not find DMs or group chats. MAX chat is with the assistant, not with teammates.
What evidence can a Fiix task capture?
A Fiix task can take text, a meter number, Pass/Fail/N/A, time spent and notes. Work orders take photos and files. The work-request portal lists video file types. Enterprise adds a finger e-signature on the work order. Speech-to-text can fill completion notes. Asset records can store an address and coordinates. I could not find a rating-scale field, a stored audio field or a GPS field on a task.
How much does Fiix cost compared to Pilla?
Free is $0 with 25 active PMs and limited users. Basic is $45 per named user per month. Professional is $75. Enterprise is quoted. Lite License and Fiix MAX are extra and quoted. Requesters on the guest work-request portal are separate from named users. I could not find a trial length in days on the live pricing page. I do not charge per person. No. I did not build Pilla as a CMMS, or for shift scheduling, payroll or HR. If you need the asset register, spare parts, purchase orders or sensor-triggered PMs, keep those on Fiix or another product.
How long does it take to switch from Fiix to Pilla?
You rebuild the task lists on the canvas. A first workflow usually takes an afternoon. Running both side by side can take days or a couple of weeks, depending on how many task lists you have. Photos and history stay in Fiix unless you move them by hand.
How did you compare Pilla and Fiix?
