Pilla vs Clappia (2026): AI that acts inside the work, or a no-code builder for custom field apps
I wrote this because I keep getting asked whether Pilla replaces Clappia. I ran restaurants for years. I know the job: you want the floor to do the work without you chasing every check.
Clappia is a no-code platform for custom business apps. You drag fields onto a form, add formulas and conditional sections, then attach workflow nodes for email, approvals, WhatsApp, REST calls and AI. Staff open those apps in a browser or in the Clappia iOS and Android launcher, including offline. Camera, GPS, signature, ratings and a 20-second mobile video sit on the form.
I built Pilla so you can turn a process you already know into a workflow on a canvas. Your team runs it on a phone, tablet or the web app. Pilla can fetch, decide and act while the work is happening. You keep the judgement calls.

How did we compare them?
I ask the same twelve questions on every comparison. For Pilla I describe what the product does today. For Clappia I went back to their help and product pages on 16 September 2026. Where they stay quiet, I stay quiet.

Prices are per user. Licences are replaceable. Free is unlimited-time, with caps of 100 users, 400 submissions a month and 400 workflow step executions a month. Starter includes unlimited submissions and 4,000 workflow steps, with fixed GPS. Professional includes 40,000 workflow steps, dynamic GPS, Repeat, Approval and API Workflows. Enterprise has no user-based pricing, plus SSO, on-prem and a Code Block. WhatsApp, SMS, REST API, AI calls and white-label are add-ons. INR rates sit on the same pricing page. I have left third-party dollar figures off this page.
How long does setup take, and how hard is it?
You can open Pilla the same day. Every new account gets a 14-day trial of Pro, with no card. I usually see a first opening or closing workflow take an afternoon. Clappia starts with a Free plan and a workplace signup. Apps can go live quickly. White-label, on-prem, SSO and paid workflow nodes take a real rollout. A trial of paid features goes through support.
If you move, you rebuild the apps on the canvas. Files and history stay in Clappia unless you export them by hand. Run both for a while. Keep the app builder, GPS tracking and white-label launcher on Clappia or another vendor. I did not build Pilla to do shift scheduling, payroll or HR.
Does the answer change by budget or size?
If you only need a process on a canvas and you want to try something today, start with Pilla. If you need to invent custom field apps yourself, with GPS tracking and a white-label launcher, stay with Clappia. If money is tight, I publish prices and so do they. Starter is $6 a user a month on yearly billing. If you want AI fetching, deciding and acting on a canvas, I would pick Pilla even in a small team.

What is Clappia designed to do?
Clappia lets a non-developer build a workplace of custom apps. You capture field evidence with photos, short video, audio, signatures and GPS. You run approvals and reminders after submit, and you show a live dashboard. You can connect Sheets, Slack, Teams, WhatsApp, databases and REST APIs. GPS attendance and live route tracking are real Clappia jobs. I would stay on Clappia for that app-builder, GPS and white-label suite.
What is Pilla designed to do?
I built Pilla so you can turn the processes you already know into workflows on a canvas. Your team follows them on a phone, tablet or the web app. Pilla checks completed work and handles the follow-up you configured. You keep judgement, coaching and the awkward calls. I left shift scheduling, payroll and HR out on purpose.
What differences actually matter?
How do they check the work?
On Pilla I put AI fetching, decisions and actions in the run. On Clappia a required field, a formula, a validation block or a human approval does the checking. Get Data from REST APIs and Get Data from AI run on the form when someone taps them. The AI block has a 30-second timeout. MCP and the AI Assistant build or edit apps. I could not find fetch, decide and act nodes on a live floor canvas.
How do you design the work?
On Pilla you draw a visual canvas with branching and reuse the workflow. On Clappia you build an app in App Designer as sections and field blocks. Conditional display shows or hides sections with Excel-like formulas. A separate Workflows tab is a node graph after submit. Help says those nodes cannot be dragged and dropped. I could not find a visual work canvas whose nodes are the floor run.
How do you provide guidance?
On Pilla you sit written, photo and video guidance beside each step. On Clappia you put text, an image viewer, a video viewer or a PDF on the form. Field labels and descriptions carry written help. That sits on the form as read-only blocks.
How does the team talk?
On Pilla you get DMs and group chats, including on a workflow. Clappia reviewers add comments when they change a submission status. Workflows post to Slack, Teams, WhatsApp, SMS, email and mobile push. I could not find DMs or group chat rooms.
How do they connect other software?
Pilla publishes an MCP server, a REST API and integrations. Clappia also hosts MCP at mcp.clappia.com for Claude Desktop. Documented tools create and edit apps, workflows and charts. They publish a REST API, Zapier, Slack, Teams, WhatsApp and database connections. I could not find MCP tools that complete a live floor submission.
What are you paying for?
On Pilla you pay for processed workflows, with unlimited people, and you get a 14-day trial of every Pro feature with no card. Clappia charges per user. Starter is $6 a month billed yearly, or $8 monthly. Professional is $7.5 yearly, or $10 monthly. There is a Free plan. Enterprise is a quote.
Which should you pick?
If I needed to invent many custom apps without developers, with GPS, camera, offline mobile, approvals and optional white-label or on-prem, I would keep Clappia. GPS attendance and live tracking are a fair reason to stay. If I wanted the work drawn on a canvas and AI acting inside the run, with DMs beside that work, I would use Pilla, and I would keep the app builder and GPS tracking somewhere else.
Frequently asked questions
Is Clappia a checklist or SOP product?
It is a no-code app builder. You can make inspection checklists, but the product is custom forms, workflows and dashboards, not an SOP library.
Does Clappia have AI inside the work?
Yes, as a Get Data from AI block on the form and as an AI Workflow Node after submit. It can analyse text, images and, on some models, PDFs. There is a 30-second timeout on the form block. MCP and the AI Assistant build or edit apps. I could not find a canvas of fetch, decide and act nodes.
Can staff chat in Clappia the way they would in Pilla?
Reviewers can comment when they change a submission status. Workflows can post to Slack, Teams, WhatsApp, SMS or email. I could not find DMs or group chat rooms in the help.
What evidence can a Clappia app capture?
Photos from a live camera or the gallery, files, drawn signatures, emoji ratings, numbers, dates, multi-select checkboxes, GPS and audio notes of 15 to 300 seconds. Live video is mobile-only and 20 seconds, or 30 seconds on white-label. The web app can upload a pre-recorded video.
How much does Clappia cost compared to Pilla?
Clappia publishes prices. Free has caps. Starter is $6 a user a month billed yearly, or $8 monthly. Professional is $7.5 yearly, or $10 monthly. INR rates sit on the same page. Enterprise is a quote with no user-based pricing. The Free plan has no time limit. Paid-feature trials go through support. I do not charge per person. Does Clappia have an MCP server?
Yes. It is hosted at mcp.clappia.com/mcp. Documented tools create and edit apps, workflows and charts. Setup help uses Claude Desktop and says a paid Claude account is required for that connector.
Does switching to Pilla replace Clappia's app builder, GPS tracking and white-label apps?
No. I did not build Pilla as a general no-code app studio, a live GPS tracker or a white-label container app. If you bought Clappia for that, keep those jobs on Clappia or another app builder.
How long does it take to switch from Clappia to Pilla?
You rebuild the apps on the canvas. A first workflow usually takes an afternoon. Running both side by side can take days or a couple of weeks, depending on how many apps you have. Files and history stay in Clappia unless you move them by hand.
