I wrote this because I keep getting asked what to use instead of Clappia. I ran restaurants for years. I know the job: you want the floor to do the work without you chasing every check.

Clappia is a no-code platform for custom business apps. You drag fields onto a form, add formulas and conditional sections, then attach workflow nodes for email, approvals, WhatsApp, REST calls and AI. Staff open those apps in a browser or in the Clappia iOS and Android launcher, including offline. Camera, GPS, signature, ratings and a 20-second mobile video sit on the form.

I built Pilla so you can turn a process you already know into a workflow on a canvas. Your team runs it on a phone, tablet or the web app. Pilla can fetch, decide and act while the work is happening. You keep the judgement calls.

If you want to try it on a process you already run, open the canvas.

I would pick Pilla when I want AI to act inside the work. I would keep Clappia when I want to build custom field apps without code, with GPS tracking and a white-label option. I would look at GoCanvas when I want mobile forms bundled with dispatch and PDF reports.

How did we compare them?

I ask the same twelve questions I use on every vs page. For this shortlist I stayed with field form tools. I put Pilla first because that is the product I built. GoCanvas is the other mobile-forms, dispatch and PDF product people name next to a field app builder. ProntoForms is the field-service forms stack with Salesforce and ServiceNow write-back. FastField is Quickbase's mobile forms product with a dispatch inbox and custom PDFs. I left out office task apps, Zapier-style automation, and rota products. I read their public docs on 16 September 2026. Where they stay quiet, I stay quiet.

I am Liam Jones. I founded Pilla after more than ten years running hospitality operations, food safety and frontline teams. On 16 September 2026 I sat with Clappia's App Designer, workflows, Get Data from AI, camera and GPS fields, the mobile app, MCP setup and the live pricing page, then with GoCanvas form builders and packages, TrueContext Form Builder and pricing, and FastField field types, tasks and Quickbase pricing. I have not lived in a paid Clappia, GoCanvas, ProntoForms or FastField account for this write-up. I am telling you what their docs say.

What should you take away?

  • I would pick Pilla if I wanted the floor to follow the process without me chasing every check
  • I would pick Pilla if I wanted the work checked as it comes in, and followed up when something needs me
  • I would keep Clappia if I needed to invent custom field apps myself, with GPS tracking and a white-label launcher
  • I would look at GoCanvas if I needed mobile forms plus dispatch and PDF reports from one vendor

I built Pilla for AI work management on the floor. Clappia sells a no-code platform for custom field and process apps. The other names on this page are real substitutes for part of that job, not clones.

What is Clappia, and why look elsewhere?

Clappia holds custom field and process apps in one workplace. You drag fields onto a form, add spreadsheet formulas and conditional sections, then attach workflow nodes for email, approvals, WhatsApp, REST calls and AI. Staff open those apps in a browser or in the Clappia iOS and Android launcher, including offline. Camera, GPS, signature, ratings and a 20-second mobile video sit on the form. AI can read a photo or a PDF on the submit path. GPS attendance and live route tracking are real Clappia jobs.

People look for a Clappia alternative when they want AI inside the run on a canvas, DMs next to the work, or they want to pay for processed workflows with unlimited people. Some stay because the app builder, GPS tracking and white-label launcher are the job.

I would keep Clappia if I needed to invent custom field apps myself, with GPS tracking and a white-label launcher. That suite is a fair reason to stay.

Price: Starter $6/user/month yearly ($8 monthly). Professional $7.5/user/month yearly ($10 monthly). Free $0.

Trial: Unlimited-time Free plan. A trial of paid features goes through support.

Why people stay

  • Drag-and-drop custom apps without code
  • Camera, GPS, signature, ratings and offline mobile
  • Public Free, Starter and Professional prices
  • MCP, REST API and Zapier
  • Live tracking and white-label if you buy those

Why people look

  • You pay per user, plus usage add-ons
  • I could not find DMs or group chats
  • I could not find a visual work canvas whose nodes are the floor run
  • Live video is mobile-only and 20 seconds
  • White-label, WhatsApp, SMS and extra API or AI packs cost extra

What are the best Clappia alternatives?

1. Pilla

Operators who want AI to act inside the work

I built Pilla so you can turn a process you already know into a workflow on a canvas. Your team runs it on a phone, tablet or the web app. Pilla checks the work as it comes in and follows up when something needs you. You keep the judgement calls. I did not build shift scheduling, payroll, HR, live GPS tracking or a white-label launcher. If you need those, keep them on Clappia or another vendor. You can open it the same day. Starter is £49 a month with 500 processed workflows. Pro is £99 with 1,000, and adds AI automations inside Pilla. Every new account gets a 14-day trial of every Pro feature, with no card. People are unlimited.

2. GoCanvas

Field teams who need mobile forms, dispatch and PDF reports

I would look at GoCanvas when I want mobile forms, dispatch and PDF reports from one vendor. You turn paper inspections and work orders into mobile forms. Dispatch sends the next job. You get a PDF back. Max adds Follow-Up Tasks on failed checks. AI auto-builds a form from a PDF. I could not find DMs or group chats. I could not find an MCP server. Essentials is $29 per user per month billed annually, with a three-user minimum.

Pros

  • Mobile forms, dispatch and PDF reports together
  • Public Essentials, Pro and Max prices
  • Follow-Up Tasks on Max
  • API, webhooks and a long integrations list

Cons

  • You pay per user, with a three-user minimum

3. ProntoForms

Field service teams that need mobile forms tied to back-office systems

I would look at ProntoForms when I want field-service mobile forms with dispatch and Salesforce or ServiceNow write-back. They renamed to TrueContext in 2023. You still search for ProntoForms. You build mobile forms, dispatch them to technicians, and write back to Salesforce, ServiceNow or ServiceMax if you buy those connectors. I could not find DMs or group chats. I could not find an MCP server. Digital starts at $400 a month for the team, billed annually.

Pros

  • Offline field-service forms with dispatch
  • Salesforce, ServiceNow and ServiceMax write-back if you buy those connectors
  • Public Digital floor of $400 a month
  • Native iOS, Android, Windows and macOS apps

Cons

  • Intelligent and Elite are quotes
  • I could not find DMs or group chats
  • I could not find an MCP server
  • I could not find a Video question type
  • I could not find a trial length in days

Price: Digital from $400 per month for the team, billed annually. Intelligent and Elite custom. Request a trial.

Pilla vs ProntoForms

4. FastField

Field teams that want mobile forms, a dispatch inbox and custom PDFs

I would look at FastField when I want mobile forms, a dispatch inbox and custom PDF reports. FastField is Quickbase's mobile forms product. You still search for FastField. You build a form, collect photo, video, audio and signature proof, and you send reports and tasks back to the office. Pro can run Photo Insights on a multi-photo field. I could not find DMs or group chats. I could not find an MCP server. Core is $24 per seat per month billed annually.

Pros

  • Mobile forms, dispatch and custom PDF reports
  • Public Core and Pro prices
  • 14-day trial from FastField, 30-day from Quickbase
  • Photos, video and audio on the form

Cons

  • You pay per seat
  • I could not find DMs or group chats
  • I could not find an MCP server
  • I could not find a dedicated video-guidance step
  • I could not find a monthly-toggle dollar amount

Price: Core $24 per seat per month billed annually. Pro $36. Enterprise custom. 14-day FastField trial.

Pilla vs FastField

Which should you pick?

If I needed to invent many custom apps without developers, with GPS, camera, offline mobile, approvals and optional white-label or on-prem, I would keep Clappia. GPS attendance and live tracking are a fair reason to stay. If I wanted the work drawn on a canvas and AI acting inside the run, with DMs beside that work, I would use Pilla, and I would keep the app builder and GPS tracking somewhere else. If the job is mobile forms plus dispatch and PDFs, I would look at GoCanvas. If the job is field-service forms with Salesforce or ServiceNow write-back, I would look at ProntoForms.

Frequently asked questions

What is the best Clappia alternative?

I would pick Pilla if I wanted the floor to follow a process, with the work checked as it comes in. I would keep Clappia if I needed to invent custom field apps myself, with GPS tracking and a white-label launcher. I would look at GoCanvas for mobile forms plus dispatch and PDFs, ProntoForms for field-service forms with Salesforce or ServiceNow write-back, and FastField for Quickbase mobile forms with a dispatch inbox.

Does Clappia have AI inside the work?

Yes, as a Get Data from AI block on the form and as an AI Workflow Node after submit. It can analyse text, images and, on some models, PDFs. There is a 30-second timeout on the form block. MCP and the AI Assistant build or edit apps. I could not find a canvas of fetch, decide and act nodes.

How much do these Clappia alternatives cost?

Clappia publishes prices. Free has caps. Starter is $6 a user a month billed yearly, or $8 monthly. Professional is $7.5 yearly, or $10 monthly. INR rates sit on the same page. Enterprise is a quote. Pilla is Starter at £49 a month with 500 processed workflows, and Pro at £99 with 1,000. People are unlimited. GoCanvas publishes Essentials, Pro and Max per user. ProntoForms publishes Digital from $400 a month for the team. FastField publishes Core and Pro per seat.

Does switching from Clappia replace the app builder, GPS tracking and white-label apps?

No. I did not build Pilla as a general no-code app studio, a live GPS tracker or a white-label container app. If you bought Clappia for that, keep those jobs on Clappia or another app builder. GoCanvas, ProntoForms and FastField are mobile-forms products with dispatch and reports. They are a different job from Clappia's workplace of custom apps.

Can staff chat in Clappia the way they would in Pilla?

Reviewers can comment when they change a submission status. Workflows can post to Slack, Teams, WhatsApp, SMS or email. I could not find DMs or group chat rooms in the help.

How did you pick this shortlist?

I stayed with field form tools and used the same twelve questions I use on every vs page. I read public docs on 16 September 2026. I left out office task apps, Zapier-style automation, and rota products. The deep tables live on the vs pages linked from each name.

Where did these facts come from?

Clappia and peer claims on this page come from their own public docs. Pilla claims come from the current product.
