5 best Lumiform alternatives (2026): AI that acts inside the work, or a mobile inspection and audit app
I wrote this because I keep getting asked what to use instead of Lumiform. I ran restaurants for years. I know the job: you want the floor to do the work without you chasing every check.
Lumiform is still Lumiform GmbH in Berlin. You build digital checklists, collect photo and signature proof, score the visit, and you get a branded report when the inspection is done. Failed checks can open a corrective action. You can add approvals, API and integrations on Enterprise or as add-ons.
I built Pilla so you can turn a process you already know into a workflow on a canvas. Your team runs it on a phone, tablet or the web app. Pilla can fetch, decide and act while the work is happening. You keep the judgement calls.
If you want to try it on a process you already run, open the canvas.
I would pick Pilla when I want AI to act inside the work. I would keep Lumiform when I want a mobile inspection and audit SOP. I would look at SafetyCulture when I want inspections, issues, training and sensors from one vendor.
How did we compare them?
I ask the same twelve questions I use on every vs page. For this shortlist I stayed with frontline ops tools. I put Pilla first because that is the product I built. SafetyCulture is the other inspections-and-ops suite people name next to Lumiform. GoAudits is the scored audit SOP with a public price. Operandio is the franchise OS Lumiform compares itself against. Xenia is the checklists, audits and work-orders bundle. I left out office task apps, Zapier-style automation, and rota products. I read their public docs on 16 September 2026. Where they stay quiet, I stay quiet.
I am Liam Jones. I founded Pilla after more than ten years running hospitality operations, food safety and frontline teams. On 16 September 2026 I sat with Lumiform's response types, documents as assistance, if-then logic, the mobile app, actions, the public API and the pricing page, then with Mitti help and pricing, GoAudits form fields and pricing, Operandio jobs and pricing, and Xenia step types and pricing. I have not lived in a paid Lumiform, SafetyCulture, GoAudits, Operandio or Xenia account for this write-up. I am telling you what their docs say.
What should you take away?
- I would pick Pilla if I wanted the floor to follow the process without me chasing every check
- I would pick Pilla if I wanted the work checked as it comes in, and followed up when something needs me
- I would keep Lumiform if I needed a mobile inspection and audit SOP, with scored checklists, corrective actions and branded reports
- I would look at SafetyCulture if I needed inspections, issues, training and sensors from one vendor

| Xenia | Teams that want checklists, audits and work orders in one suite | Quote per user or per location | No public software price. Sales quote. |
I built Pilla for AI work management on the floor. Lumiform sells mobile inspection and audit software for frontline teams. The other names on this page are real substitutes for part of that job, not clones.
What is Lumiform, and why look elsewhere?
Lumiform holds the inspection programme in one place. You start from a template, a prompt or an uploaded file. You prove the check with photos, signatures and timestamps, including offline on a phone or tablet. You score the visit, open a corrective action when something fails, and send a branded PDF. Managers design forms and look at analytics on the desktop. Lumiform is still Lumiform GmbH in Berlin.
People look for a Lumiform alternative when they want AI inside the run, a published price, DMs next to the work, or they do not want the daily process and the audit programme to be the same product. Some stay because that inspection SOP is the job.
I would keep Lumiform if I needed a mobile inspection and audit SOP, with scored checklists, corrective actions and branded reports. That audit SOP is a fair reason to stay.
Price: No public rate card on the English pricing page. Sales quote.

What are the best Lumiform alternatives?
1. Pilla
Operators who want AI to act inside the work
I built Pilla so you can turn a process you already know into a workflow on a canvas. Your team runs it on a phone, tablet or the web app. Pilla checks the work as it comes in and follows up when something needs you. You keep the judgement calls. I did not build a branded inspection suite, shift scheduling, payroll or HR. If you need scored audits and PDF reports, keep them on Lumiform or another vendor. You can open it the same day. Starter is £49 a month with 500 processed workflows. Pro is £99 with 1,000, and adds AI automations inside Pilla. Every new account gets a 14-day trial of every Pro feature, with no card. People are unlimited.

2. SafetyCulture
Teams that want inspections, issues, training and sensors
I would look at SafetyCulture when I want inspections, issues, training and sensors from one vendor. They renamed to Mitti on 11 August 2026. You still search for SafetyCulture. You run inspection templates, collect evidence and scores, raise issues, and you can add training, assets and sensors. Checking is logic, scoring and AI around the work. I could not find DMs or group chats in their help. Free is capped at 10 users. Premium is $24 per seat per month on annual billing.
Pros
- Inspections, issues and actions in one place
- Training sits in the same product
- Sensors and hardware if you buy those modules
- Public Free and Premium prices
Cons
- You pay per seat, plus AI credits

- Sensors and hardware cost extra
- Enterprise is a quote
Price: Free $0 (up to 10 users). Premium $24 per seat per month annual. Enterprise quote.
3. GoAudits
Teams that want scheduled audits, scored inspections and branded reports
I would look at GoAudits when I want a scored audit SOP with a public price. You build digital checklists, collect photo and signature proof, and you get a branded PDF when the inspection is done. You can add scheduling, corrective actions, broadcasts and dashboards on the paid plans. Checking is scoring, mandatory photos, auto-fail and approvals. I could not find DMs or group chats in their help. Starter is $10 per user per month on annual billing.
Pros
- Scored checklists and branded PDF reports
- Public Starter and Enterprise prices
- 14-day trial, no card
- Corrective actions with due dates
Cons
- You pay per user

4. Operandio
Franchise operators who want checklists, LMS and food safety together
I would look at Operandio when I want franchise ops, LMS and food safety together. You schedule digital jobs, collect photo and score proof, and you can add LMS, announcements with read receipts, sensors and labels. Network agents can assign training or CAPA. I could not find a public software price. Their pricing FAQ says they offer a pilot, not a free trial.
Pros
- Jobs, LMS and food safety in one franchise OS
- Announcements with read receipts
- Sensors, labels and CAPA if you buy those modules
- Pilot offered
Cons
- No public software price
- I could not find DMs or group chats
- Pricing FAQ says no free trial

Price: No public software price. Sales quote. Pilot offered.
5. Xenia
Teams that want checklists, audits and work orders in one suite
I would look at Xenia when I want checklists, audits and work orders in one suite. A failed step can open a work order. DMs, group chats and announcement feeds sit in the same app. AI Photo Rollouts scores photos while someone is still on the list. Sensors and food-prep labels are add-ons. They quote you per user or per location. A 14-day Starter trial is advertised.
Pros
- Checklists, audits and work orders together
- DMs, group chats and announcement feeds
- Live AI photo flags on the list
- 14-day Starter trial
Cons
- No public software price
- Sensors and labels are add-ons
- I could not find an MCP server
- Blog dollar figures are not on the live rate card
Price: No public software price. Sales quote. 14-day Starter trial.
Which should you pick?
If I ran an inspection programme that needed scored checklists, photo proof, corrective actions and branded PDFs from one vendor, I would keep Lumiform. That audit SOP is a fair reason to stay. If I wanted the work drawn on a canvas and AI acting inside the run, with DMs and MCP, I would use Pilla, and I would keep the audit product somewhere else. If the job is inspections plus training and sensors, I would look at SafetyCulture. If the job is a franchise OS with LMS, I would look at Operandio.
Frequently asked questions
What is the best Lumiform alternative?
I would pick Pilla if I wanted the floor to follow a process, with the work checked as it comes in. I would keep Lumiform if I needed a mobile inspection and audit SOP, with scored checklists, corrective actions and branded reports. I would look at SafetyCulture for inspections, issues, training and sensors, GoAudits for a scored audit SOP with a public price, Operandio for a franchise OS with LMS, and Xenia for checklists plus work orders.
How much do these Lumiform alternatives cost?
Lumiform quotes you per user seat on Professional or Enterprise. I could not find a public rate card on the English pricing page. Their own comparison pages still print Professional from €100 a month for 5 users. Pilla is Starter at £49 a month with 500 processed workflows, and Pro at £99 with 1,000. People are unlimited. SafetyCulture publishes Free and Premium per seat. GoAudits publishes Starter and Enterprise per user. Operandio and Xenia quote you.
Does switching from Lumiform replace scored inspections and branded reports?
No. I did not build Pilla as a branded inspection suite. If you need scored inspections, corrective actions and PDF reports, keep those on Lumiform or another product. SafetyCulture, GoAudits and Operandio also sell inspection programmes. Xenia sells checklists plus work orders.
Does Lumiform have AI inside inspections?
I could not find an AI step inside a form that fetches, decides and acts. Checking is logic, scoring, required fields, a negative answer and an approval. AI Photo Validation can judge a photo against a standard. AI also writes and translates templates and answers analytics questions.
How did you pick this shortlist?
I stayed with frontline ops tools and used the same twelve questions I use on every vs page. I read public docs on 16 September 2026. I left out office task apps, Zapier-style automation, and rota products. The deep tables live on the vs pages linked from each name.
Where did these facts come from?
Lumiform and peer claims on this page come from their own public docs. Pilla claims come from the current product.
