Xenia vs Operandio (2026): checklists, audits and work orders, or franchise daily jobs with training and food-safety checks
I am Liam Jones. I founded Pilla after more than ten years running hospitality operations, food safety and frontline teams.
I wrote this because I keep getting asked how Xenia and Operandio compare. I ran restaurants for years. I know the job: you want the floor to do the work without you chasing every check.
Xenia is still Xenia Platform Inc. You build digital checklists and audits, collect photo and video proof, and you can open a work order from a failed step. DMs, group chats and announcement feeds sit in the same app. AI Photo Rollouts scores photos while someone is still on the list. Template Agent writes a form from a prompt or a PDF. You can add sensors, asset QR and food-prep labels if you buy those add-ons.
Operandio is a franchise and location operating system. You schedule digital jobs, collect photo and score proof, and you can add training courses, a SOP library, announcements with read receipts, food-safety sensors, labels, assets and EHS if you buy those modules. AI search, generated courses, photo evaluation and network agents can assign training or CAPA.
I built Pilla so you can turn a process you already know into a workflow on a canvas. Your team runs it on a phone, tablet or the web app. Pilla can fetch, decide and act while the work is happening. You keep the judgement calls.
If you want to try it on a process you already run, open the canvas.
Quick Summary
I would pick Xenia when I want the checklists, the audits and the work orders from one vendor. I would pick Operandio when I want the franchise stores' daily jobs, the training courses, and the food-safety checks together. I would pick Pilla when I want AI to act inside the work.
- I would pick Xenia if I needed the checklists, the audits and the work orders in one suite
- I would pick Operandio if I needed the franchise stores' daily jobs, the training courses, and the food-safety checks together
- I would pick Pilla if I wanted a process I already know drawn on a canvas, with branching
- I would pick Pilla if I wanted AI to fetch, decide and act inside the run
How did we compare them?
I ask the same twelve questions on every comparison. I used Xenia's help, product pages, API docs and the live pricing page, and Operandio's help, product pages and pricing. I used their public docs, and I have not used a paid account. Where they stay quiet, I stay quiet.

What is Xenia, and when should you pick it?
Xenia holds opening, closing, food-safety and brand lists in one place. You prove the work with photos, videos, signatures, GPS and scores. A failed step can open a corrective task. District managers inspect on a phone and see roll-ups on a dashboard. Chats and SOP documents sit in the same app. Sensors, asset QR and food-prep labels are add-ons.
I would pick Xenia if I needed checklists, audits and work orders from one vendor. That suite is a fair reason to stay.
Price: No public software price. Quote per user or per location.
Trial: 14-day Starter trial. Demo available.

What is Operandio, and when should you pick it?
Operandio holds opening, closing, brand and food-safety jobs in one place. You prove the work with photos, scores, timestamps and NFC. Failed items and sensor alerts open CAPA. You train staff on courses, send announcements that need a read receipt, print prep labels, and watch kit with sensors. Assets and EHS sit in the same vendor if you buy those modules.
I would pick Operandio if I needed the franchise stores' daily jobs, the training courses, and the food-safety checks from one vendor. That suite is a fair reason to stay.

When is Pilla the third option?
If the job is checklists, audits and work orders, pick Xenia. If the job is the franchise stores' daily jobs, the training courses, and the food-safety checks, pick Operandio. I built Pilla for a different job. You draw the process on a canvas. The team runs it on a phone, tablet or the web app. Pilla checks the work as it comes in and follows up when something needs you. I did not build shift scheduling, payroll, HR, work-order ticketing, training courses, printers or sensors. If you need those, keep them on Xenia, Operandio or another vendor. You can open Pilla the same day. Pay as you go is £199 a month with 1,500 processed workflows included, then 15p each. Enterprise is from £25k a year. Talk to us to get set up. People are unlimited.

Which should you pick?
I would pick Xenia if I needed checklists, audits and work orders from one vendor. I would pick Operandio if I needed the franchise stores' daily jobs, the training courses, and the food-safety checks from one vendor. If I wanted the work drawn on a canvas and AI acting inside the run, with MCP, I would use Pilla, and I would keep work orders, training courses, printers, sensors and punches somewhere else.
Frequently asked questions
Is Xenia the same as Operandio?
No. They overlap on lists, proof, scores and optional sensors. Xenia is built around checklists, audits, work orders and in-app DMs, with a 14-day Starter trial advertised. Operandio is built around franchise stores' daily jobs, training courses and food-safety checks, and they quote you for a pilot.
How do teams talk in Xenia and Operandio?
Xenia has DMs, group chats and public announcement feeds with acknowledgement tracking. Operandio sends targeted announcements and campaigns, with attachments and required read receipts. I could not find DMs or group chat rooms on Operandio's current product page.
How much do Xenia and Operandio cost?
Both quote you. I could not find a public software price on either live rate card. Xenia quotes per user or per location, and advertises a 14-day Starter trial. Operandio quotes by locations or users plus modules. Their pricing FAQ says no free trial, and a pilot is offered. Pilla is Pay as you go at £199 a month with 1,500 processed workflows, then 15p each. Enterprise is from £25k a year. People are unlimited.
Does either product put AI inside the run?
Xenia has live AI on photos during completion, called Photo Rollouts, plus Template Agent, Analytical Agent and Summaries. Operandio has photo evaluation, generated courses and network agents that assign training or CAPA. But I could not find an AI fetch, decision or action step on a canvas in either product.
Where does Pilla fit if I am comparing Xenia and Operandio?
I would pick Pilla if I wanted the floor to follow a process, with the work checked as it comes in. I would not switch expecting Pilla to take over work orders, training courses, sensors, labels or a time clock. The deep tables live on Pilla vs Xenia and Pilla vs Operandio.
Where did these facts come from?
Xenia and Operandio claims on this page come from their own public docs. Pilla claims come from the current product.
