I wrote this because I keep getting asked whether Pilla replaces SweetProcess. I ran restaurants for years. I know the job: you want the floor to do the work without you chasing every check.
SweetProcess is SOP software. You write procedures as step lists, keep policies next to them, and group procedures into processes. SweetAI can draft the first version. You approve the document, publish it to a knowledge base, and assign it as a repeating task. Quizzes and a typed sign-off prove a read.

How did we compare them?
I ask the same twelve questions on every comparison. For Pilla I describe what the product does today. For SweetProcess I went back to their help and product pages on 16 September 2026. Where they stay quiet, I stay quiet.

SweetProcess bills the number of users in the account, including invited people who have not logged in. Standard is $99 a month or $990 a year for up to 10 users. Extra users are $5 a month or $50 a year. Small Team is $495 a year for up to 5 users, annual only. Every plan gets the same features, including SweetAI. I could not find whether guest members count toward the billed total. Some older pages still say 20 members. Homepage, pricing and billing help say 10, so I treated 10 as current.
How long does setup take, and how hard is it?
You can open Pilla the same day. Every new account gets a 14-day trial of Pro, with no card. I usually see a first opening or closing workflow take an afternoon. SweetProcess also starts with a 14-day trial, no card, and a signup on their web app. Procedures can go live quickly. Quizzes, typed sign-offs and a knowledge base take a real rollout.
If you move, you rebuild the procedures on the canvas. Files and history stay in SweetProcess unless you export them by hand. Run both for a while. Keep SOP docs, quizzes, typed sign-offs and knowledge bases on SweetProcess or another vendor. I did not build Pilla to be a policy library, or to do shift scheduling, payroll or HR.
Does the answer change by budget or size?
If you only need the floor to run a process and you want to try something today, start with Pilla. If you need SOP docs, quizzes, typed sign-offs and a knowledge base from one vendor, stay with SweetProcess. If money is tight, I publish prices. SweetProcess does too. If you want AI in the run and DMs on the floor, I would pick Pilla even in a small team.

What is SweetProcess designed to do?
SweetProcess holds procedures, policies and processes in one library. You capture a browser workflow with the Chrome extension. SweetAI can write the first draft. You approve and version the document, assign it as a task, collect form answers and files, quiz people, and take a typed sign-off. You can publish a public or private knowledge base. I would stay on SweetProcess for that SOP suite.
What is Pilla designed to do?
I built Pilla so you can turn the processes you already know into workflows on a canvas. Your team follows them on a phone, tablet or the web app. Pilla checks completed work and handles the follow-up you configured. You keep judgement, coaching and the awkward calls. I left shift scheduling, payroll and HR out on purpose.

How do they check the work?
On Pilla I put AI fetching, decisions and actions in the run. On SweetProcess a draft approval, a quiz, a typed sign-off or a decision step does the checking. SweetAI drafts and answers from the library. I could not find an AI step inside a live task run.
How do you design the work?
On Pilla you draw a visual canvas with branching and reuse the workflow. On SweetProcess you write a procedure as a step list, add decision branches, and they draw a process map beside the editor. Recurrence sits on the assigned task.
How do you capture evidence?
On Pilla you sit photos, video, audio, signatures and location on the step. On SweetProcess a form field takes files and photos, plus dates and checklist ticks. Sign-off is a typed name on the document. I could not find audio, rating, number, GPS or a drawn signature field.
How does the team talk?
On Pilla you get DMs and group chats, including on a workflow. SweetProcess comments sit on a procedure, with @mentions, emoji and photo attachments. I could not find DMs or group chat rooms.
How do they connect other software?
Pilla publishes an MCP server, a REST API and integrations. SweetProcess documents a REST API, webhooks and Zapier, plus SCIM. I could not find a SweetProcess MCP server.
What are you paying for?
On Pilla you pay for processed workflows, with unlimited people, and you get a 14-day trial of every Pro feature with no card. SweetProcess bills per user. Standard is $99 a month for the first 10, then $5 each.
Which should you pick?
If I needed SOP docs, assigned tasks, quizzes, typed sign-offs and a knowledge base from one vendor, I would keep SweetProcess. That suite is a fair reason to stay. If I wanted the work drawn on a canvas and AI acting inside the run, with DMs, I would use Pilla, and I would keep SOP authoring, quizzes and knowledge bases somewhere else.

Is SweetProcess still just SOP documentation?
Documentation is the core. You also assign a procedure or process as a trackable task, attach quizzes, collect typed sign-offs, and publish a knowledge base. Help still describes a procedure as a step-by-step checklist.
Does SweetProcess have AI inside tasks?
SweetAI drafts and rewrites procedures and policies, and chats against your documents. I could not find an AI fetch, decision or action step inside a live task run.
Can staff chat in SweetProcess the way they would in Pilla?
Comments sit on documents, with email notify, @mentions, emoji and photo attachments. I could not find DMs or group chat rooms.
What evidence can a SweetProcess task capture?
Form fields documented in help are text, long text, checkbox, radio, date and attach file. Steps tick off. The mobile app can attach camera images. Sign-off is a typed name on the document. I could not find audio, rating, number, GPS or a drawn signature field. Video as capture is unclear. The video insert is guidance.
How much does SweetProcess cost compared to Pilla?
SweetProcess publishes prices. Standard is $99 a month for up to 10 users, then $5 per extra user. Yearly is $990 for 10. Small Team is $495 a year for up to 5. Does SweetProcess have an MCP server?
I could not find one. They publish a REST API, webhooks and a Zapier integration, and a help article for ChatGPT Custom GPT Actions against that API.
Does switching to Pilla replace SweetProcess's SOP and knowledge-base suite?
No. I did not build Pilla as document control, quizzes, typed policy sign-offs or a customer knowledge base. If you need that suite, keep it on SweetProcess or another product.
How long does it take to switch from SweetProcess to Pilla?
You rebuild the procedures on the canvas. A first workflow usually takes an afternoon. Running both side by side can take days or a couple of weeks, depending on how many procedures you have. Files and history stay in SweetProcess unless you move them by hand.
How did you compare Pilla and SweetProcess?
