Pilla vs ShiftForce (2026): AI that acts inside the work, or a digital logbook plus a roster
I wrote this because I keep getting asked whether Pilla replaces ShiftForce. I ran restaurants for years. I know the job: you want the floor to do the work without you chasing every check.
ShiftForce is the Kansas City parent behind ShiftNote. You still log into ShiftNote, at ww1.shiftnote.com or myshiftforce.com. Marketing leads with ShiftNote +Scheduler. You keep a searchable manager log, checklists, cash and stats, and you can add a roster, swaps and a phone app if you buy +Scheduler.
I built Pilla so you can turn a process you already know into a workflow on a canvas. Your team runs it on a phone, tablet or the web app. Pilla can fetch, decide and act while the work is happening. You keep the judgement calls.
If you want to try it on a process you already run, open the canvas.
I would pick Pilla when I want AI to act inside the work. I would pick ShiftForce when I want a digital logbook bundled with a roster.
How did we compare them?
I ask the same twelve questions on every comparison. For Pilla I describe what the product does today. For ShiftForce I went back to their help and product pages on 16 September 2026. Where they stay quiet, I stay quiet.
I am Liam Jones. I founded Pilla after more than ten years running hospitality operations, food safety and frontline teams. On 16 September 2026 I sat with ShiftForce's current help: task input types, nested checklists, the daily log, documents, messages, announcements, accountability, note-to-task, pricing and POS integrations. I have not lived in a paid ShiftForce account for this write-up. I am telling you what their docs say.
What should you take away?
- I would pick Pilla if I wanted the floor to follow the process without me chasing every check
- I would pick Pilla if I wanted the work checked as it comes in, and followed up when something needs me
- I would keep ShiftForce if I needed a digital logbook plus a roster from one vendor
- I would not switch expecting Pilla to take over scheduling or the manager log

I built Pilla for AI work management on the floor. ShiftForce sells a digital manager logbook and shift scheduling.
Why do people like Pilla?
You open Pilla on the phone you already carry. You see the next step, read how to do it, take the photo or sign, and move on. The record lands while you work. Pilla checks it against the rules you set and follows up when something needs you.
I hear the same thing from managers: they draw the process once and stop asking all day whether it happened. The team likes it because they can see what good looks like before they start.
“Pilla helps me have a day off knowing that procedures will be followed”
Charles, owner of 11 hospitality sites
When does switching from ShiftForce to Pilla make sense?
- You want Pilla to check the work as it comes in
- You want to draw the process on a canvas and branch it
- You want a photo, a video or a file sitting on the step itself
- You want written, photo and video guidance beside the step
- You want DMs and group chats next to the work
- You want an MCP server and an API you can use
- You are happy to keep the roster, swap board and POS labour import somewhere else
What do you pay for?
| Capability | Pilla | ShiftForce |
|---|---|---|
| What you pay for | Unlimited users, usage based on workflows | $40 to $95 per location per month; unlimited people |
| Public price | Starter is £49 a month for 500 processed workflows. Pro is £99 a month for 1,000. | ShiftNote $40 a month or $400 a year per location. +Scheduler $75 or $700. Enterprise $95 or $1,000. |
| Trial | 14-day free trial of every Pro feature, with no card | 30-day trial, no card. Older help still says 14 days. |
You pay per location. They say managers and employees are unlimited. Location discounts, custom development and extra setup fees may apply. Square POS is $30 a location a month plus setup. Omnivore is $30 a venue a month. The Enterprise card shows $95 and Contact Us. I could not find hardware for sale.
How long does setup take, and how hard is it?
You can open Pilla the same day. Every new account gets a 14-day trial of Pro, with no card. I usually see a first opening or closing workflow take an afternoon. ShiftForce advertises a 30-day trial with no card, plus a self-guided tour. The logbook can go live quickly. The roster and POS labour import take a real rollout.
If you move, you rebuild the lists on the canvas. Photos and history stay in ShiftForce unless you export them by hand. On cancel they can send a CSV of log notes and stats. They do not export schedules, documents or checklists. Run both for a while. Keep rotas, swaps and POS labour import on ShiftForce or another vendor. I did not build Pilla to do shift scheduling, payroll or HR.
Does the answer change by budget or size?
If you only need digital lists and you want to try something today, start with Pilla. If you run shift ops and you need a searchable manager log plus a roster from one vendor, stay with ShiftForce. If money is tight, I publish prices. ShiftForce publishes prices too, from $40 a location. If you want AI in the run and an MCP server, I would pick Pilla even in a small team.
What is each one used for?
ShiftForce works well for
- Manager shift notes for 86s, maintenance, guest issues and personnel
- Opening, mid-shift and closing checklists on the daily log or as tasks
- Required photo on a closer task
- Cash count, deposit drop and petty cash with a witness
- Daily stats and a sales and labour forecaster
- Pre-shift and post-shift recap emails, including a ShiftCard roster
- Employee schedule, swap, pickup and time off on a phone
- 1:1 or group messages, announcements with acknowledge, log read receipts
- Toast, Square, Aloha and other Omnivore sales into the log
Pilla works well for
- Opening and closing the team can follow on their phone
- Showing someone how to do a step with writing, a photo or a video
- Collecting photos, video, audio, files and signatures as the work happens
- Letting AI fetch, decide and act while the run is live
- Following up yourself, or letting Pilla follow up
- Talking in DMs and group chats next to the work
- Connecting other software through MCP, API and integrations
- Paying for workflows with as many people as you need
What is ShiftForce designed to do?
ShiftForce holds the manager log, checklists, cash and stats in one place. You prove a note was read. You assign a follow-up task from a note. You count cash and deposits with a witness. You can staff the floor with a roster, swaps and a phone app if you buy +Scheduler. I would stay on ShiftForce for that logbook and labour suite.
What is Pilla designed to do?
I built Pilla so you can turn the processes you already know into workflows on a canvas. Your team follows them on a phone, tablet or the web app. Pilla checks completed work and handles the follow-up you configured. You keep judgement, coaching and the awkward calls. I left shift scheduling, payroll and HR out on purpose.
What differences actually matter?
How do they check the work?
On Pilla I put AI fetching, decisions and actions in the run. On ShiftForce a required image, a yes/no, a number or a checkbox does the checking, then a completion notice and a read receipt. I could not find an AI step inside a task or a log note.
How do you design the work?
On Pilla you draw a visual canvas with branching and reuse the workflow. On ShiftForce you create a recurring task or a nested checklist, and you can add unlimited daily checklists on the log. I could not find a visual node canvas or if/then branching.
How do you provide guidance?
On Pilla you sit written, photo and video guidance beside each step. On ShiftForce you put written details on the task and you store files in a document library. I could not find a dedicated photo-guidance or video-guidance step.
How does the team talk?
On Pilla you get DMs and group chats, including on a workflow. ShiftForce documents 1:1 and group messages, an employee chat board, announcements with read receipts, and an internal email inbox. Their daily log is a shift record. They say it is not a conversation piece.
How do they connect other software?
Pilla publishes an MCP server, a REST API and integrations. ShiftForce pulls POS data from Toast, Square, Aloha and other Omnivore systems, and lists API partners. I could not find a public API reference or an MCP server.
What are you paying for?
On Pilla you pay for processed workflows, with unlimited people, and you get a 14-day trial of every Pro feature with no card. ShiftForce bills per location, with unlimited people, on a public monthly card.
Which should you pick?
If I ran a shift business that needed a searchable manager log, cash witnesses and a roster from one vendor, I would keep ShiftForce. That logbook and scheduling suite is a fair reason to stay. If I wanted the work drawn on a canvas and AI acting inside the run, with DMs and MCP, I would use Pilla, and I would keep rotas and POS labour import somewhere else.
Frequently asked questions
Is ShiftForce the same as ShiftNote?
ShiftForce is the parent company. ShiftNote is the digital manager logbook. ShiftNote +Scheduler adds employee scheduling. Classic login is ww1.shiftnote.com. MyShiftForce is a newer login and an older native app. Help and pricing live under shiftforce.com.
Does ShiftForce have AI inside tasks or the log?
I could not find an AI step inside a task or a log note. Checking is a required field, completion and a read receipt. They publish general restaurant-AI advice. I could not find an LLM step, a fetch or an MCP server.
Can staff chat in ShiftForce the way they would in Pilla?
They document 1:1 and group messages, an employee chat board, and chat in the ShiftNote Schedule app, which a company can turn off. Help also describes an internal email inbox with read receipts. The daily log is a shift record. They say it is not a conversation piece.
What evidence can a ShiftForce task or log capture?
A task can take a checkbox, a nested checklist, an image, a number, text or yes/no. A daily log note can take a file, an image or a short video, plus timestamps, stats and cash. Documents store files. I could not find an audio, GPS, rating or signature field. Cash count uses a witness password, or a name plus mother's maiden name, not a drawn signature.
How much does ShiftForce cost compared to Pilla?
ShiftForce publishes $40, $75 and $95 per location per month, or $400, $700 and $1,000 a year, with unlimited employees. POS add-ons cost extra. The homepage offers a 30-day trial with no card. Older help still mentions a 14-day trial. I do not charge per person. Starter is £49 a month with 500 processed workflows included. Pro is £99 a month with 1,000 included, and adds AI automations inside Pilla. Every new account gets a 14-day trial of every Pro feature, with no card.
Does switching to Pilla replace ShiftForce scheduling?
No. I did not build Pilla for shift scheduling, payroll or HR. If you need ShiftForce's roster, swaps, ShiftCard or POS labour import, keep those on ShiftForce or another product.
How long does it take to switch from ShiftForce to Pilla?
You rebuild the lists on the canvas. A first workflow usually takes an afternoon. Running both side by side can take days or a couple of weeks, depending on how many lists you have. Photos and history stay in ShiftForce unless you move them by hand. On cancel they can export a CSV of log notes and stats. They do not export schedules, documents or checklists.
How did you compare Pilla and ShiftForce?
I read ShiftForce and ShiftNote public docs on 16 September 2026 and answered the same twelve questions I use on every comparison. I described Pilla as it works today. I left out anything they do not publish.
Where did these facts come from?
ShiftForce claims on this page come from their own public docs. Pilla claims come from the current product.
