I wrote this because I keep getting asked whether Pilla replaces Parsable. I ran restaurants for years. I know the job: you want the floor to do the work without you chasing every check.

CAI Software bought Parsable in September 2024. The product is still branded Parsable. You build no-code job templates, collect photo, video, audio and signature proof, and you can add SAP, MES, CMMS and IoT if you buy those connections.

I built Pilla so you can turn a process you already know into a workflow on a canvas. Your team runs it on a phone, tablet or the web app. Pilla can fetch, decide and act while the work is happening. You keep the judgement calls.

If you want to try it on a process you already run, open the canvas.

I would pick Pilla when I want AI to act inside the work. I would pick Parsable when I want digital SOPs with plant-floor chat and industrial integrations.

How did we compare them?

I ask the same twelve questions on every comparison. For Pilla I describe what the product does today. For Parsable I went back to their public product pages, the CAI product page, API docs and app listings on 16 September 2026. Their Help Center needs a login, so I did not use it. Where they stay quiet, I stay quiet.

I am Liam Jones. I founded Pilla after more than ten years running hospitality operations, food safety and frontline teams. On 16 September 2026 I sat with Parsable's current public pages: the product and connected-work pages, AI analytics, get-demo, the CAI Parsable product page, field types and messaging in the public API, and the Frontline iOS listing. Help at help.parsable.com sends you to a Zendesk login, so I did not use those articles. I have not lived in a paid Parsable account for this write-up. I am telling you what their public docs say.

What should you take away?

  • I would pick Pilla if I wanted the floor to follow the process without me chasing every check
  • I would pick Pilla if I wanted the work checked as it comes in, and followed up when something needs me
  • I would keep Parsable if I needed digital SOPs, plant collaboration and industrial integrations
  • I would not switch expecting Pilla to take over SAP, MES or CMMS

I built Pilla for AI work management on the floor. Parsable sells a connected worker platform for digital work instructions.

Why do people like Pilla?

You open Pilla on the phone you already carry. You see the next step, read how to do it, take the photo or sign, and move on. The record lands while you work. Pilla checks it against the rules you set and follows up when something needs you.

I hear the same thing from managers: they draw the process once and stop asking all day whether it happened. The team likes it because they can see what good looks like before they start.

When does switching from Parsable to Pilla make sense?

  • You want Pilla to check the work as it comes in
  • You want to draw the process on a canvas and branch it
  • You want a rating or location sitting on the step itself
  • You want an MCP server you can call
  • You want to start without a demo and a quote
  • You are happy to keep SAP, MES and CMMS somewhere else

What do you pay for?

How long does setup take, and how hard is it?

You can open Pilla the same day. Every new account gets a 14-day trial of Pro, with no card. I usually see a first opening or closing workflow take an afternoon. Parsable starts with a 30-minute demo. After a fit conversation they will build two procedures for you and show SOP templates. That is not a self-serve trial.

If you move, you rebuild the job templates on the canvas. Photos and history stay in Parsable unless you export them by hand. Run both for a while. Keep SAP, MES, CMMS and plant IoT on Parsable or another vendor. I did not build Pilla to do shift scheduling, payroll or HR.

Does the answer change by budget or size?

If you only need digital work instructions and you want to try something today, start with Pilla. If you run a plant and you need SAP, MES or CMMS plus plant-floor chat from one vendor, stay with Parsable. If money is tight, I publish prices. Parsable quotes you. If you want AI in the run and an MCP server, I would pick Pilla even in a small team.

What is each one used for?

Parsable works well for

  • CIL and autonomous maintenance on a phone or tablet
  • Line changeovers, startups, shutdowns and shift handoffs
  • Lockout/tagout, safety rounds and incident reports
  • In-process quality checks, inspections and LPAs
  • Goods receipt and material inspection
  • CAPA and root-cause follow-up through Issues
  • On-the-job training and one-point lessons inside the SOP
  • Dashboards and Aladdin questions on execution data

Pilla works well for

  • Opening and closing the team can follow on their phone
  • Showing someone how to do a step with writing, a photo or a video
  • Collecting photos, video, audio, files and signatures as the work happens
  • Letting AI fetch, decide and act while the run is live
  • Following up yourself, or letting Pilla follow up
  • Talking in DMs and group chats next to the work
  • Connecting other software through MCP, API and integrations
  • Paying for workflows with as many people as you need

What is Parsable designed to do?

Parsable holds changeover, CIL, LOTO, quality and safety procedures in one place. You prove the work with timestamps and media. You raise issues when something is off. Remote experts join in chat. SOP edits push to the floor. Jobs can connect to ERP, MES, CMMS and, if you buy it, IoT. I would stay on Parsable for that connected-worker suite.

What is Pilla designed to do?

I built Pilla so you can turn the processes you already know into workflows on a canvas. Your team follows them on a phone, tablet or the web app. Pilla checks completed work and handles the follow-up you configured. You keep judgement, coaching and the awkward calls. I left shift scheduling, payroll and HR out on purpose.

What differences actually matter?

How do they check the work?

On Pilla I put AI fetching, decisions and actions in the run. On Parsable if/then, number ranges, deviations and applets do the checking, then a notification. Aladdin and anomaly detection sit on the analytics. A 2026 CAI article talks about AI-generated SOPs and an operator-assist chatbot. I could not find an AI step inside a job that fetches, decides and acts.

How do you design the work?

On Pilla you draw a visual canvas with branching and reuse the workflow. On Parsable you build a no-code job template in the web admin portal, drag in steps and reveal inputs with if/then. Recurrence is a planned or recurring job. I could not find a visual canvas.

How do you capture evidence?

On Pilla a step can take a rating and location, plus photos, video, audio, files, signatures, numbers, checklists and dates. Parsable captures photos, video, audio, files, signatures, numbers, checklists and dates. I could not find a rating input or a GPS input on a job step.

How does the team talk?

On Pilla you get DMs and group chats, including on a workflow. Parsable markets 1:1 and group chats and assignment-specific messaging. The public API sends chat on a job. I could not find whether a DM lives fully outside a job.

How do they connect other software?

Pilla publishes an MCP server, a REST API and integrations. Parsable documents a public API, webhooks, applets, SAP, MES and CMMS. I could not find a Parsable MCP server.

What are you paying for?

On Pilla you pay for processed workflows, with unlimited people, and you get a 14-day trial of every Pro feature with no card. Parsable quotes you. CAI says pricing depends on customization, scale and integration. I could not find a public software price.

Which should you pick?

If I ran a plant that needed digital work instructions, plant-floor chat and SAP, MES or CMMS from one vendor, I would keep Parsable. That connected-worker suite is a fair reason to stay. If I wanted the work drawn on a canvas and AI acting inside the run, with DMs and MCP, I would use Pilla, and I would keep SAP, MES and CMMS somewhere else.

Frequently asked questions

Is Parsable still Parsable after CAI bought it?

Yes. CAI Software, LLC acquired Parsable, Inc. on 25 September 2024. In September 2026 the product is still branded Parsable at parsable.com. Footer copyright is CAI Software, LLC. Parent marketing lives at caisoft.com/products/parsable. Help at help.parsable.com sends you to a Zendesk login.

Does Parsable have AI inside jobs?

I could not find an AI step inside a job that fetches, decides and acts. Checking is if/then, ranges, deviations, applets and a notification. AI-Powered Analytics, including Aladdin natural-language query, dashboards and anomaly detection, sits on execution data. A 2026 CAI article says Parsable is shipping AI-generated SOPs and an operator-assist chatbot. Those are design-time and chat guidance.

Can staff chat in Parsable the way they would in Pilla?

Parsable markets 1:1 and group chats, plus assignment-specific messaging. The public messaging API sends chat on a job. The Frontline iOS app lists in-app messaging. I could not find whether a DM lives fully outside a job. Help is behind a login, so I did not use it.

What evidence can a Parsable job capture?

The live API input list includes photo, video, audio, file, signature, number, date, datetime, yes/no and lists. I could not find a rating input or a GPS input. The iOS app privacy form collects coarse location. Safety copy names photos and voice notes on incidents.

Does Parsable have a visual workflow canvas?

I could not find one. Work is no-code job templates with drag-and-drop steps and if/then logic. Recurrence is a planned or recurring job.

How much does Parsable cost compared to Pilla?

Parsable quotes you. I could not find a public software price. CAI says pricing depends on customization, scale and integration. I do not charge per person. Starter is £49 a month with 500 processed workflows included. Pro is £99 a month with 1,000 included, and adds AI automations inside Pilla. Every new account gets a 14-day trial of every Pro feature, with no card.

Does switching to Pilla replace Parsable SAP, MES or CMMS?

No. I did not build Pilla for shift scheduling, payroll or HR, and I did not build it to be MES or ERP. If you need those plant systems, keep them on Parsable or another product.

How long does it take to switch from Parsable to Pilla?

You rebuild the job templates on the canvas. A first workflow usually takes an afternoon. Running both side by side can take days or a couple of weeks, depending on how many templates you have. Photos and history stay in Parsable unless you move them by hand.

How did you compare Pilla and Parsable?

I read Parsable's public product pages, the CAI Parsable product page, API docs and app listings on 16 September 2026 and answered the same twelve questions I use on every comparison. I described Pilla as it works today. I left out anything Parsable does not publish. Their Help Center needs a login, so I did not use it.

Where did these facts come from?

Parsable claims on this page come from their own public docs. Pilla claims come from the current product.
