I wrote this because I keep getting asked whether Pilla replaces Opterus. I ran restaurants for years. I know the job: you want the floor to do the work without you chasing every check.

Opterus sells OPSCENTER, a retail operations and communication platform. HQ sends targeted messages with read receipts, assigns multi-step tasks, and ships planograms with photo merch reviews. You can add audits, tickets, documents, tests, dashboards and store scheduling. Associates work in the OPSCENTER app on a phone, tablet or the web app.

How did we compare them?

I ask the same twelve questions on every comparison. For Pilla I describe what the product does today. For Opterus I went back to their product pages, first-party press PDFs and app listings on 16 September 2026. They do not publish a public help centre. Where they stay quiet, I stay quiet.

I am Liam Jones. I founded Pilla after more than ten years running hospitality operations, food safety and frontline teams. How long does setup take, and how hard is it?

You can open Pilla the same day. Every new account gets a 14-day trial of Pro, with no card. I usually see a first opening or closing workflow take an afternoon. Opterus starts with a demo and a quote. They say a fully featured custom trial setup can be provided in a few days and can become your production system. Rolling out messages, tasks, planograms and audits takes a real implementation.

If you move, you rebuild the tasks on the canvas. Photos and history stay in Opterus unless you export them by hand. Run both for a while. Keep HQ messages, planograms, merch reviews, store scheduling and testing on Opterus or another vendor. I did not build Pilla to do shift scheduling, payroll or HR.

Does the answer change by budget or size?

If you only need a process on a canvas and you want to try something today, start with Pilla. If you run retail stores and you need HQ messages with receipts, multi-step tasks, planograms and merch photo reviews from one vendor, stay with Opterus. If money is tight, I publish prices. Opterus quotes you. If you want AI in the run and an MCP server, I would pick Pilla even in a small team.

What is Opterus designed to do?

Opterus puts the right HQ message and task in one associate app. You prove it was read and done with receipts, photos and audit files. You ship planograms, collect merch photos, raise tickets and auto-open corrective tasks. You can plug in POS, Microsoft Teams, and workforce partners such as Legion and Blue Yonder, plus store scheduling. I would stay on Opterus for that whole comms and execution suite.

What is Pilla designed to do?

I built Pilla so you can turn the processes you already know into workflows on a canvas. Your team follows them on a phone, tablet or the web app. Pilla checks completed work and handles the follow-up you configured. You keep judgement, coaching and the awkward calls. I left shift scheduling, payroll and HR out on purpose.

What differences actually matter?

How do they check the work?

On Pilla I put AI fetching, decisions and actions in the run. On Opterus a required photo, a confirmation, a gatekeeper or a side-by-side merch review does the checking. Dashboards show completion and compliance scores. OPS Assistant answers from policies and helps write templates. OpsEngine can let your own AI pull overdue-task reports. I could not find an AI step inside a task.

How do you design the work?

On Pilla you draw a visual canvas with branching and reuse the workflow. On Opterus you build a single-step or multi-stage task, reuse templates, and set owners and deadlines at each stage. Recurrence lives on the Calendar. I could not find a visual node canvas.

How do you provide guidance?

On Pilla you sit written, photo and video guidance beside each step. On Opterus associates get step-by-step guidance, reference images on merch tasks, clickable planograms and a document library. Documents can play Vimeo or YouTube. I could not find a dedicated photo-guidance or video-guidance step beside each task item.

How does the team talk?

On Pilla you get DMs and group chats, including on a workflow. Opterus Chat and Newsfeeds has person-to-person and group chats plus company news feeds. Message Center is HQ-to-store updates with targeting, two-way replies and mandatory read receipts.

How do they connect other software?

Pilla publishes an MCP server, a REST API and integrations. Opterus documents GraphQL for every UI action, REST for authentication, webhooks, batch upload and named retail partners. I could not find an Opterus MCP server, or a public API reference.

What are you paying for?

On Pilla you pay for processed workflows, with unlimited people, and you get a 14-day trial of every Pro feature with no card. Opterus quotes you all-inclusive, with no extra fees for users, dashboards or reporting. I could not find a public software price.

Which should you pick?

If I ran a retail brand that needed HQ messages with read receipts, multi-step tasks, planograms and merch photo reviews from one vendor, I would keep Opterus. That comms and execution suite is a fair reason to stay. If I wanted the work drawn on a canvas and AI acting inside the run, with an MCP server other software can call, I would use Pilla, and I would keep HQ comms, planograms and store scheduling somewhere else.

Frequently asked questions

Is Opterus an AI work-management product?

No. OPSCENTER is a retail operations and communication platform. AI on live pages is OPS Assistant, which answers from policies and helps write templates, and GraphQL so a retailer's own AI can pull reports or trigger workflows. Checking work is photos, gatekeepers, scores and human review. Their privacy policy says they do not use personal information for automated decision making.

Does Opterus have AI inside tasks the way Pilla does?

I could not find an AI step that fetches, decides or acts inside a task the associate is running. Managers audit completed tasks and review submitted photos. Visual merch reviews compare a reference image to the store photo. OPS Assistant sits in the editor, not in the run.

Can staff chat in Opterus the way they would in Pilla?

Yes. Chat and Newsfeeds has person-to-person and group chats plus company-wide news feeds. Message Center is the HQ product, with targeting by role, tier or location, two-way replies and mandatory read receipts.

What evidence can an Opterus task capture?

Live pages document photos and files on tasks and audits, plus checklist-style multi-step tasks and due dates. I could not find video, audio, signatures, ratings, numbers or a stored location field as capture types. Geofencing in OPSCENTER 26.1 can limit audit functions by proximity. That is access control, not captured GPS evidence.

How much does Opterus cost compared to Pilla?

Opterus quotes you. I could not find a public software price. They market all-inclusive pricing with no extra fees for users, dashboards or reporting. I do not charge per person. Starter is £49 a month with 500 processed workflows included. Pro is £99 a month with 1,000 included, and adds AI automations inside Pilla. Does switching to Pilla replace Opterus scheduling, POS or testing?

No. I did not build Pilla for shift scheduling, payroll or HR. If you need Opterus Store Scheduling, Legion or Blue Yonder labour, GK POS screens, or Testing and Certification, keep those on Opterus or another product.

How long does it take to switch from Opterus to Pilla?

You rebuild the tasks on the canvas. A first workflow usually takes an afternoon. Running both side by side can take days or a couple of weeks, depending on how many tasks you have. Photos and history stay in Opterus unless you move them by hand.
