Pilla vs Ocasta (2026): AI that acts inside the work, or a frontline operations platform
I wrote this because I keep getting asked whether Pilla replaces Ocasta. I ran restaurants for years. I know the job: you want the floor to do the work without you chasing every check.
Ocasta is a frontline operations platform. Five hubs snap together or run solo: comms and tasks, knowledge and learning, inspections and checklists, new starter, and observations and coaching. You read targeted news, search knowledge, complete scored reviews and pick up tasks in one branded iOS, Android and web app. AI on their live pages is search answers, a writing assistant and generated learning questions. They unified Engage and Review into one app and one web experience in early 2026.
I built Pilla so you can turn a process you already know into a workflow on a canvas. Your team runs it on a phone, tablet or the web app. Pilla can fetch, decide and act while the work is happening. You keep the judgement calls.

How did we compare them?
I ask the same twelve questions on every comparison. For Pilla I describe what the product does today. For Ocasta I went back to their product pages and help on 16 September 2026. Where they stay quiet, I stay quiet.
I am Liam Jones. I founded Pilla after more than ten years running hospitality operations, food safety and frontline teams. Why do people like Pilla?
You open Pilla on the phone you already carry. You see the next step, read how to do it, take the photo or sign, and move on. The record lands while you work. Pilla checks it against the rules you set and follows up when something needs you.

Ocasta prices per site or per employee, per hub. Default is per site so everyone at a store, gym or depot gets access. Mobile teams can be priced per active user, or a blend. How long does setup take, and how hard is it?
You can open Pilla the same day. Every new account gets a 14-day trial of Pro, with no card. I usually see a first opening or closing workflow take an afternoon. Ocasta starts with a 25 to 30 minute founder demo and a quote, usually emailed within 24 hours. Hubs going live takes a real rollout. Live pricing does not advertise a self-serve trial.
If you move, you rebuild the reviews on the canvas. Photos and history stay in Ocasta unless you export them by hand. Run both for a while. Keep the newsfeed, knowledge hub, observations, new-starter, kudos and Boost on Ocasta or another vendor. I did not build Pilla as an LMS, a newsfeed or recognition rewards, and I left shift scheduling, payroll and HR out on purpose.
Does the answer change by budget or size?
If you only need a process on a canvas and you want to try something today, start with Pilla. If you run stores or field teams and you need comms, knowledge, scored inspections, observations and new-starter from one vendor, stay with Ocasta. If money is tight, I publish prices. Ocasta quotes you. If you want AI in the run and an MCP server, I would pick Pilla even in a small team.

What is Ocasta designed to do?
Ocasta holds comms, knowledge, scored inspections, observations and new-starter in one branded app. You prove the work with scores, geotagged photos and required insights. You raise a human task when something fails. You coach against an ideal journey. You can add kudos, optional rewards and Boost games. Review scheduling is inspection cadence. Workforce scheduling and payroll sit outside, through an app switcher or a named WFM integration in the quote. Zebra handhelds and tills are supported devices. I would stay on Ocasta for that whole suite.
What is Pilla designed to do?
I built Pilla so you can turn the processes you already know into workflows on a canvas. Your team follows them on a phone, tablet or the web app. Pilla checks completed work and handles the follow-up you configured. You keep judgement, coaching and the awkward calls. I left shift scheduling, payroll and HR out on purpose.
What differences actually matter?
How do they check the work?
On Pilla I put AI fetching, decisions and actions in the run. On Ocasta a required insight, a required photo, a colour flag, a unit range or a KPI versus target does the checking, then a score and a human task. Ocasta Answer summarises search across news and articles. A writing assistant drafts content and can generate learning questions. I could not find an AI step inside a review.
How do you design the work?
On Pilla you draw a visual canvas with branching and reuse the workflow. On Ocasta you build a review template in admin, add sections and insights, and schedule it daily, weekly, monthly or annually, or as a one-time review. Start conditions gate whether a person review can begin. Direct tasks sit outside a template. I could not find a visual node canvas or skip logic on an insight.
How do you provide guidance?
On Pilla you sit written, photo and video guidance beside each step. On Ocasta each insight has a title and a description, and you can link a Knowledge article. The knowledge hub holds video walk-throughs, annotated PDFs and step-by-step guides. Photos on insights are the proof you take while you work. I could not find a dedicated photo-guidance or video-guidance step.
How does the team talk?
On Pilla you get DMs and group chats, including on a workflow. Ocasta Comms sends targeted news, alerts, banners and a calendar, often with comments, reactions and unique reads. People reply on news comments and on task comments. Kudos is peer recognition. I could not find DMs or group channels.
How do they connect other software?
Pilla publishes an MCP server, a REST API and integrations. Ocasta documents SSO, CSV import, an optional data warehouse into Power BI, Tableau or Looker, and API integrations plus custom development through sales. New starter can use Typeform, Office Forms or SurveyMonkey. An app switcher launches external tools. I could not find a public API reference, webhook docs or an MCP server.
What are you paying for?
On Pilla you pay for processed workflows, with unlimited people, and you get a 14-day trial of every Pro feature with no card. Ocasta quotes you per site or per employee, per hub. I could not find a public software price.
Which should you pick?
If I ran a retail or field network that needed comms, searchable knowledge, scored inspections, observations and new-starter from one branded app, I would keep Ocasta. That enablement bundle is a fair reason to stay. If I wanted the work drawn on a canvas and AI acting inside the run, with DMs and MCP, I would use Pilla, and I would keep the newsfeed, LMS, kudos and Boost somewhere else.

Is Ocasta an AI work-management product?
No. It is a frontline operations platform with five hubs. Live AI is Ocasta Answer in search, a writing assistant for articles and news, generated learning questions, and natural-language knowledge search. I could not find a visual canvas of AI fetch, decide and act steps inside a review. Their AI blog says coaching AI is developing.
Does Ocasta have AI inside reviews?
I could not find an AI step inside a review. Checking is a required insight, a required photo, a colour flag, a range, a KPI versus target, a score and a human task. Ocasta Answer and the writing assistant sit on comms and knowledge.
Can staff chat in Ocasta the way they would in Pilla?
Comms sends targeted news, alerts, banners and a calendar, often with comments and reactions. People reply on news comments and on task comments. Kudos is peer recognition. I could not find DMs or group channels.
What evidence can an Ocasta review capture?
Help lists Yes/No, Vibe, dropdown, units, text, numbers, KPI, percentage, person picker, signature and checkbox, plus photos you can annotate, timestamp and geotag. A product update adds Date and Time. Video and audio sit on knowledge and news. I could not find video, audio or a file-upload field as a review insight. Live-only camera is an app setting.
How much does Ocasta cost compared to Pilla?
Ocasta quotes you. I could not find a public software price. They email a price within 24 hours. Implementation fees are waived throughout 2026. Live pricing does not advertise a free trial. Does switching to Pilla replace Ocasta comms, learning, kudos or Boost?
No. I did not build Pilla as an LMS, a newsfeed or recognition rewards, and I left shift scheduling out on purpose. If you need Ocasta's comms, microlearning, observations, kudos or Boost, keep those on Ocasta or another product.
Does Ocasta have an MCP server?
I could not find a public MCP server. Integrations claimed are SSO, API work, custom development, CSV and an optional data warehouse into Power BI, Tableau or Looker. I could not find a public API reference.
How long does it take to switch from Ocasta to Pilla?
You rebuild the reviews on the canvas. A first workflow usually takes an afternoon. Running both side by side can take days or a couple of weeks, depending on how many templates you have. Photos and history stay in Ocasta unless you move them by hand.
