I wrote this because I keep getting asked whether Pilla replaces 4insite. I ran restaurants for years. I know the job: you want the floor to do the work without you chasing every check.

4insite LLC was founded in 2019 with SBM Management as the primary user. You still log into app.4insite.com. The public floor app is 4iGo. You load a Scope of Work, run routes and audits, and you prove service with QR, photos and attestations. Work orders, scorecards and translated messages sit in the same platform. Olivia answers occupant requests and summarises the dashboard page you are viewing.

I built Pilla so you can turn a process you already know into a workflow on a canvas. Your team runs it on a phone, tablet or the web app. Pilla can fetch, decide and act while the work is happening. You keep the judgement calls.

If you want to try it on a process you already run, open the canvas.

I would pick Pilla when I want AI to act inside the work. I would pick 4insite when I want a facilities suite for Scope of Work, audits, work orders and scorecards.

How did we compare them?

I ask the same twelve questions on every comparison. For Pilla I describe what the product does today. For 4insite I went back to their public marketing, pricing, privacy policy, store listings and SBM's 4insite pages on 16 September 2026. Where they stay quiet, I stay quiet.

I am Liam Jones. I founded Pilla after more than ten years running hospitality operations, food safety and frontline teams. On 16 September 2026 I sat with 4insite's public pages: the homepage, team, solutions, pricing grid, privacy policy, case studies, the 4iGo App Store and Google Play listings, and SBM's pages about their 4insite platform. I could not find a public help centre. I have not lived in a paid 4insite account for this write-up. I am telling you what their public pages say.

What should you take away?

  • I would pick Pilla if I wanted the floor to follow the process without me chasing every check
  • I would pick Pilla if I wanted the work checked as it comes in, and followed up when something needs me
  • I would keep 4insite if I needed Scope of Work, service validation, audits and scorecards from one vendor
  • I would not switch expecting Pilla to take over clock-in, bonus scorecards or vendor billing

I built Pilla for AI work management on the floor. 4insite sells facilities work management for Scope of Work, audits, work orders and scorecards.

Why do people like Pilla?

You open Pilla on the phone you already carry. You see the next step, read how to do it, take the photo or sign, and move on. The record lands while you work. Pilla checks it against the rules you set and follows up when something needs you.

I hear the same thing from managers: they draw the process once and stop asking all day whether it happened. The team likes it because they can see what good looks like before they start.

Pilla helps me have a day off knowing that procedures will be followed

When does switching from 4insite to Pilla make sense?

  • You want Pilla to check the work as it comes in
  • You want to draw the process on a canvas and branch it
  • You want video, audio, signatures or ratings sitting on the step itself
  • You want written, photo and video guidance beside the step
  • You want DMs and group chats next to the work
  • You want an MCP server and an API you can call
  • You are happy to keep clock-in, bonus scorecards and vendor billing somewhere else

What do you pay for?

4insite prices per user per month on the live card. Starter is $39. Professional is $79. Enterprise is custom. All three CTAs are Request Demo. Phone hardware and data plans, QR codes, professional services, deployment and custom training are add-ons. Integrations are optional on every plan. I could not find an unlimited-user claim, a workflow meter, or a published trial length. I could not find whether list prices are billed monthly or annually.

How long does setup take, and how hard is it?

You can open Pilla the same day. Every new account gets a 14-day trial of Pro, with no card. I usually see a first opening or closing workflow take an afternoon. 4insite starts with a demo. Starter is $39 per user per month on the public card. Routes, training, vendor dashboards and phone hardware take a real rollout if you buy those.

If you move, you rebuild the Scope of Work and routes on the canvas. Photos and history stay in 4insite unless you export them by hand. Run both for a while. Keep clock-in, bonus scorecards, vendor billing and phone hardware on 4insite or another vendor. I did not build Pilla to do shift scheduling, payroll or HR.

Does the answer change by budget or size?

If you only need digital lists and you want to try something today, start with Pilla. If you run facilities or soft services and you need Scope of Work, service validation, audits and scorecards from one vendor, stay with 4insite. If money is tight, I publish prices. 4insite publishes $39 and $79 per user per month, then quotes Enterprise. If you want AI in the run and an MCP server, I would pick Pilla even in a small team.

What is each one used for?

4insite works well for

  • Timed routes by building, floor and room from a Scope of Work
  • Service validation with QR logs, cleanliness photos, geofence and attestations
  • Quality audits with forms that adapt to the service model, then assigned work
  • Report It and Good Catch photos for hazards and building issues
  • Occupant surveys and work-order intake via Olivia texting or QR
  • Complaints, compliments and safety-priority work orders
  • Site and employee scorecards, including bonus metrics

Pilla works well for

  • Opening and closing the team can follow on their phone
  • Showing someone how to do a step with writing, a photo or a video
  • Collecting photos, video, audio, files and signatures as the work happens
  • Letting AI fetch, decide and act while the run is live
  • Following up yourself, or letting Pilla follow up
  • Talking in DMs and group chats next to the work
  • Connecting other software through MCP, API and integrations
  • Paying for workflows with as many people as you need

What is 4insite designed to do?

4insite holds a contracted Scope of Work across buildings and rooms. You prove daily service with QR logs, photos and end-of-service checks. You walk audits and assign the misses. Occupants and associates raise issues that become work orders. You keep vendors, complaints and KPIs on a dashboard, and you can train associates in a course library. I would stay on 4insite for clock-in, bonus scorecards, vendor billing and that whole facilities suite.

What is Pilla designed to do?

I built Pilla so you can turn the processes you already know into workflows on a canvas. Your team follows them on a phone, tablet or the web app. Pilla checks completed work and handles the follow-up you configured. You keep judgement, coaching and the awkward calls. I left shift scheduling, payroll and HR out on purpose.

What differences actually matter?

How do they check the work?

On Pilla I put AI fetching, decisions and actions in the run. On 4insite a QR log, a cleanliness photo, an attestation, a geofence or a human audit does the checking. Olivia summarises the dashboard page you are viewing and takes occupant requests. I could not find an AI step inside a route, audit or attestation.

How do you design the work?

On Pilla you draw a visual canvas with branching and reuse the workflow. On 4insite you load a Scope of Work, run routes by building, floor and room, and use audit forms that adapt to the service model. Recurrence is scheduled SOW and routes. I could not find a visual canvas.

How do you provide guidance?

On Pilla you sit written, photo and video guidance beside each step. On 4insite you put video courses and quizzes in a Course Library, which the live grid places on Enterprise. To-dos and Report Its carry written task text. I could not find a dedicated photo-guidance or video-guidance step.

How does the team talk?

On Pilla you get DMs and group chats, including on a workflow. 4insite Message/News, notifications and collaboration in over 100 languages sit in the app. Olivia chats with occupants by text. I could not find DMs or group channels.

How do they connect other software?

Pilla publishes an MCP server, a REST API and integrations. 4insite prices optional out-of-the-box and custom integrations on every plan. I could not find a public API reference or a 4insite MCP server.

What are you paying for?

On Pilla you pay for processed workflows, with unlimited people, and you get a 14-day trial of every Pro feature with no card. 4insite publishes Starter at $39 per user per month and Professional at $79, then quotes Enterprise. I could not find a self-serve trial on the live pricing page.

Which should you pick?

If I ran a facilities or soft-services operation that needed Scope of Work, service validation, audits, work orders and scorecards from one vendor, I would keep 4insite. Clock-in, bonus scorecards and vendor billing are a fair reason to stay. If I wanted the work drawn on a canvas and AI acting inside the run, with DMs and MCP, I would use Pilla, and I would keep clock-in and vendor billing somewhere else.

Frequently asked questions

Is 4insite still 4insite?

Yes. 4insite LLC was founded in 2019 with SBM Management as the primary user. In September 2026 you still log into app.4insite.com. The public floor listing is 4iGo. SBM still calls it our 4insite platform and sends clients to that login.

What is 4iGo?

4iGo is 4insite's public associate app on the App Store for iPhone and on Google Play for Android. It covers area task lists, manager to-dos, complaints, Report It photos, attestations, a service timer, geofencing and proof-of-service photos. Managers and clients also use a web login at app.4insite.com.

Does 4insite have AI inside the work?

I could not find an AI step inside a route, audit or attestation. Checking is a QR log, a photo, an attestation, a geofence and a human audit. Olivia is an AI data analyst that summarises the page you are viewing, and a digital assistant for occupant requests.

Can staff chat in 4insite the way they would in Pilla?

Pricing lists Notifications, Chatbot and Message/News. SBM shows a Messages feed from named people and HR. Olivia texts occupants. I could not find DMs or group channels.

What evidence can 4insite capture on the floor?

Documented evidence is photos, written comments, checklists and attestations, building, floor and room, and due dates on to-dos. Privacy allows videos on the Platform, but 4iGo's Play data safety lists photos, not videos, and no video step is marketed. I could not find an audio field, a signature pad or a rating field on a floor step. GPS is documented for clock-in and geofence.

How much does 4insite cost compared to Pilla?

4insite publishes a rate card. Starter is $39 per user per month. Professional is $79 per user per month. Enterprise is custom. The CTA is Request Demo. I could not find a published self-serve trial. Phone hardware, QR codes and services are add-ons. I do not charge per person. Starter is £49 a month with 500 processed workflows included. Pro is £99 a month with 1,000 included, and adds AI automations inside Pilla. Every new account gets a 14-day trial of every Pro feature, with no card.

Does switching to Pilla replace 4insite clock-in, scorecards or vendor billing?

No. I did not build Pilla for shift scheduling, payroll or HR. If you need Hours Manager, employee bonus scorecards, invoicing or phone hardware, keep those on 4insite or another product.

How long does it take to switch from 4insite to Pilla?

You rebuild the Scope of Work and routes on the canvas. A first workflow usually takes an afternoon. Running both side by side can take days or a couple of weeks, depending on how many routes and audits you have. Photos and history stay in 4insite unless you move them by hand.

Does 4insite have an API or an MCP server?

Pricing offers optional out-of-the-box and custom integrations. I could not find a public API reference or an MCP server on live 4insite pages.

How did you compare Pilla and 4insite?

I read 4insite public pages on 16 September 2026 and answered the same twelve questions I use on every comparison. I described Pilla as it works today. I left out anything they do not publish. I could not find a public help centre.

Where did these facts come from?

4insite claims on this page come from their own public docs. Pilla claims come from the current product.
