Pilla is a workflow automation app. Design any workflow on Pilla's visual canvas: checks, training, risk assessments, and the daily routines that run your operation. Your team runs it from their phones. Poppi (AI) keeps it on track.

Unlike office automation tools (Zapier, Make, n8n) that only connect apps together, Pilla extends the automation to the people on the ground. The staff with phones are part of the automation, not just users of an app. And unlike team management apps (Connecteam, Jolt, Deputy), Pilla gives you a full workflow builder, so you can shape any routine to the way your business actually runs.

Design the workflow once on the canvas. Your team carries it out from their mobile. Poppi briefs them at the start of work, checks work as it comes in, chases anything outstanding, and branches the flow based on conditions you set. MCP integrations wire the canvas into the rest of your stack (Slack, Google Calendar, Shopify, and more).

The result: multi-site operations hold the same standard across every location, without hiring more managers to babysit them.

Staff complete the workflow from the Pilla mobile app. Clock-ins, checklists, numbers, choices, ratings, photos, videos, signatures, and files flow back into the canvas in real time. Every action is captured for the audit trail.

Attach rich text, photos, or video walkthroughs to any step. Staff see the right instructions at the right moment, so they know exactly what to do without needing a manager on site.

### Quality Checks
Poppi AI inspects submissions against the standards you set. It validates evidence, scores answers, catches missed steps, and escalates problems before they become incidents.

### Follow-ups
Poppi automatically chases outstanding work, nudges the right people, and takes automated actions when conditions are met. Standards hold whether or not a manager is watching.

### MCP Integrations
Connect the canvas to Slack, Google Calendar, Shopify, and other systems your operation already runs on. Workflow steps can read from or write to external tools.

## Pricing

Pilla is priced on usage, not on people. **Users are unlimited and free on every plan**, and every core feature is on every plan including all of the AI; only detailed account-wide audit logs and priority support start on Pro. Two units are metered, and both measure what Pilla itself does rather than what a person does: **processed workflows** (a workflow Pilla processes and makes available for Poppi to see, check and act on, counted once per workflow, per team, per occasion) and **automations** (one AI execution).

There are three plans. **Starter is free**: 1,000 processed workflows and 5,000 automations a month, then 10p per extra workflow and 2p per extra automation, with data kept for 1 year. **Pro is £449 a month**: 5,000 processed workflows and 25,000 automations, then 5p and 1p per extra unit, with data kept for as long as you are a customer, and it adds detailed account-wide audit logs and priority support. **Enterprise** sets allowances, rates and retention in a contract and adds everything on Pro plus the capabilities a larger estate needs.

**Starter is a real free plan, not a trial.** It does not expire and needs no card. There is no per-seat charge on any plan: adding people, adding teams and building workflows yourself never cost anything on any plan (asking Poppi to build or edit a workflow counts as one automation).

Compute a monthly bill as: plan fee + (processed workflows above the allowance x the plan's workflow rate) + (automations above the allowance x the plan's automation rate). A rule of thumb is that an automated workflow uses about 5 automations per run. For example, a ten-site operator processing 3,500 workflows and 17,500 automations a month pays £500 on Starter or £449 on Pro, where the whole volume sits inside the allowance. Allowances reset monthly and do not roll over, only successful executions are counted, and tax is added on top.

When an allowance is reached with a card on file, usage is charged per unit and the work carries on; with no card, we alert you, allow a few days' grace, then pause metered activity until the month resets or you add a card or upgrade. Nothing is deleted. Billing is monthly with no minimum term, cancellable from the billing portal.

Every plan includes unlimited users, teams and workflows, the drag and drop canvas, every workflow step type, the mobile app, workflow analytics and the full run-by-run log of every workflow, group chats and DMs, AI decisions (judging a staff answer against your rule and deciding what happens next), AI actions (carrying out work in your connected tools when a step completes), AI briefings (gathering context before work starts), AI decision branching, external triggers, and the 100+ integrations, incoming webhooks, REST API and MCP server. The only things not on Starter are detailed account-wide audit logs (sign-ins, permission changes, deletions, as distinct from the per-workflow history every plan gets) and priority support, both of which start on Pro.

An automation is one thing Poppi does: a decision, a Poppi rule on a work element, an action, a briefing, each chat or DM message it answers, and each workflow it builds or edits. The public playground, canvas previews, failed runs and Poppi searching your docs are not counted.

Larger operations can contact us for Enterprise pricing, with enterprise capabilities like single sign-on, multi-entity management, white-label branding, dedicated compute, an uptime SLA, onboarding and training, and annual contracts with invoice or PO billing. Prices in GBP and exclude tax; invoices converted to your local currency.
